Overview

Join our dynamic team as a Deputy Clerk, a vital role dedicated to ensuring the smooth operation of daily small city and administrative processes; taking water payments; answering telephones and booking building rentals. As a Deputy Clerk, you will serve as a key point of contact for the public, and local community. You will be a part of a very small team, providing exceptional clerical support and maintaining accurate records. Minimum of 2 years experience with accounts payable and accounts receivables is required. This energetic position offers the opportunity to contribute to the community through various means of city business. Some Duties

  • Assist with the preparation, processing, and filing of documents, city records management, with precision and attention to detail
  • Manage incoming inquiries from the public, the Mayor, and other personnel via phone, email, or in person with professionalism and enthusiasm
  • Enter data accurately into city software management systems and maintain organized filing systems both physically and electronically
  • Handle clerical tasks such as data entry, document scanning, copying, and filing to uphold record integrity
  • Assist with cash handling duties related to fees or fines collection while maintaining strict accountability and accuracy

Qualifications

  • Two years experience in accounting with payables, receivables; payroll and quarterly or annual reporting procedures
  • Excellent drafting skills for preparing correspondence, reports, or procedural documents
  • Demonstrated office experience with proficiency in word processing software such as Microsoft Word and data entry systems
  • Exceptional organizational skills to manage multiple priorities simultaneously while maintaining accuracy
  • Previous clerical experience including filing, record keeping, and customer service is preferred
  • Ability to handle cash transactions responsibly with attention to detail and confidentiality
