Responsible for assisting the Director of Legal Administration with the management and support of the legal support staff across each practice area of the firm, working with the Director of Legal Administration to identify staffing needs in conjunction with managing partners in each office and with firm management, and helping determine firm-wide workflow to maximize legal support staff resources. Responsible for ensuring proper orientation and understanding of firm guidelines, standards, and practices for the legal support staff and providing the Director of Legal Administration with observations and feedback on individual and collective staff performance and offers recommendations as needed on making systematic or personnel improvement which may include implementation of initiatives and procedural enhancements, system refinements, and evaluation of legal support staff process effectiveness to ensure the delivery of consistent exceptional support services, and in the absence of the director of legal administration assumes the responsibilities of that role working with the firm’s chief operating officer to obtain approvals when required by performing the following duties.

- Assist with the supervision of all legal secretaries in all offices
- Ensures all legal secretaries are well trained in applicable areas. This includes training of all new legal secretaries.
- Oversees the time entry/clock-in system for support staff in the office in which the deputy director of legal administration is based.
- Develops and implements standardized and efficient office procedures in conjunction with the director of legal administration as needed.
- Responsible for case file management, including the closing of cases in Time Matters and ensuring the files are properly sent to storage.
- Communicates with the Director of Legal Administration on performance appraisal, terminations, discipline, conflict resolution, employee grievances, and job assignments for the office legal support staff.
- Participates in support staff interviews
- Plans meetings, office visits, and policy and procedure development for the office support staff.
- Travel to respective office locations firmwide, as directed by the Director of Legal Administration, to inspect and ensure that operations are in compliance with firm standards.
- Ensures office area is maintained and clean working in conjunction with the Operations Department.
- This position requires regular attendance in the office.
- Responsible for face-to-face interaction and coordination of work with other employees.
- Attends meetings and/or in office training events on a weekly and often daily basis.
- Maintains access to proprietary information, attorney-client privileged material, and/or trade secrets that is exclusively in the workplace.
- This position requires access to software programs and other data that cannot be accessed outside of the firm’s secure informational network that is exclusively housed in the workplace.
- This position requires short or no notice face-to-face problem-solving dialogue sessions.
- This position requires incumbent to be accessible during the workday to clients and colleagues in a professional and secure work location free of distractions or outside noise.
- This position requires daily physical access to office hardware such as the postage machine, copier, printer, scanner, and other office equipment that are housed in the workplace.
- Obtains ‘wet’ signatures on documents that frequently must be hand processed in the office for transmission outside of the office or saved to our confidential database.
