The Opportunity

We’re looking for a highly organized, Operations Coordinator who wants to grow into a larger role over time.

This is not just an administrative position—it’s an opportunity to become the operational backbone of a fast-paced design studio.

You’ll work directly with the owner and design team to keep projects moving, systems running, and details handled before they become problems.

Your Role

This is a hands-on, support-focused position where you’ll assist with project coordination and day-to-day studio operations. You’ll handle the small but critical details that keep projects moving, from tracking orders to organizing files to coordinating with vendors.

While the design team leads client-facing work, you’ll ensure the internal systems and logistics stay organized and efficient.

You will take responsibility for the behind-the-scenes execution that keeps projects running smoothly.

Project Coordination

  • Manage vendor communication, including requesting quotes and tracking orders
  • Own order tracking from purchase through delivery and installation
  • Coordinate logistics and flag potential issues early
  • Maintain organized, accurate project files and documentation
  • Support timelines and ensure tasks don’t fall through the cracks

Studio Operations

  • Track expenses and support basic bookkeeping processes
  • Keep vendor records, materials library, and studio resources organized and up to date
  • Manage the studio calendar and coordinate scheduling needs
  • Handle sample pickups and vendor coordination as needed

Team Support

  • Keep internal meetings organized and action items tracked
  • Step in wherever needed—this is a collaborative, roll-up-your-sleeves environment

  • Resourceful—you figure things out and solve problems independently
  • Tech-comfortable and quick to learn new systems
  • Interested in the design industry, but energized by operations and execution

Requirements

  • 1–2 years of experience in an assistant, coordinator, or operations role
  • Strong communication and organizational skills
  • Ability to thrive in a fast-paced, detail-driven environment
  • Familiarity with tools like Monday.com; QuickBooks is a plus

Pay: $45,000.00 - $60,000.00 per year
