Loaves and Fishes of Contra Costa is seeking a proactive and detail-oriented Development Coordinator to support the Development Director in fundraising, events, and donor engagement. This role assists with planning and executing fundraising events, including coordinating silent and live auctions, securing auction items, managing logistics, and keeping event timelines on track. The coordinator also supports administrative and reporting needs by helping organize fundraising files, maintaining event and sponsorship records, assisting with tracking fundraising metrics, and preparing updates for leadership. Additional responsibilities include helping schedule meetings, site visits, and donor tours, while maintaining confidentiality of donor and organizational information. The coordinator also supports marketing and communications by helping maintain consistent branding, reviewing scheduled social media posts, assisting with newsletters and event materials, and gathering client and volunteer stories to highlight program impact.

The ideal candidate has nonprofit event experience, strong organizational skills, and an interest in building community through mission-driven events.

● Event Planning & Coordination: Lead the planning, coordination, and execution of fundraising events, including the annual gala, golf tournament, and bocce tournament. Oversee all logistics such as venue selection, vendor contracts, guest lists, and event timelines while engaging sponsors and donors throughout the planning process. Secure raffle and auction items, assist with sponsorships and in-kind donations, and collaborate with the team to create promotional materials including social media content, email campaigns, and printed invitations that align with the organization’s mission. Recruit, train, and manage event volunteers, and coordinate with vendors such as caterers and audio-visual teams to ensure smooth event execution. Support budget management by tracking expenses, maintaining financial accuracy, and providing updates to the development team. Following each event, ensure timely follow-up with attendees through thank-you messages, surveys, and donation processing, and update the donor database while analyzing results to inform future improvements.

● Administrative & Reporting: Support the Development Director by helping manage and organize fundraising files, event records, and sponsorship documentation so information stays accurate and accessible. Assist with tracking fundraising metrics and preparing progress updates for leadership and the board. Provide administrative support by helping schedule meetings, site visits, and donor tours as needed, while maintaining the confidentiality of all donor and organizational information.

● Social Media & Marketing Assist the Development Director in maintaining consistent branding and messaging across printed, digital, and event materials. Review and help prepare scheduled social media content that highlights fundraising efforts, community partnerships, and volunteer engagement. Support the creation of newsletters, flyers, and promotional materials for programs and events. Gather client and volunteer stories to help showcase mission impact and strengthen donor engagement.

Qualifications:

● Education: Bachelor’s degree in a related field (e.g., Event Management, Communications, Nonprofit Management) is preferred but not required.

● Experience:

○ 2-4 years of experience in event coordination, fundraising, or nonprofit development.

○ Experience managing logistics for large-scale events, preferably within a nonprofit setting.

○ Familiarity with donor databases and Office systems such as DonorPerfect, Google Suite, and Greater Giving.

● Skills & Competencies:

○ Exceptional organizational and project management skills.

○ Strong written and verbal communication skills.

○ Ability to work under pressure and manage multiple events or deadlines simultaneously.

○ Attention to detail and problem-solving abilities.

○ Ability to collaborate with diverse teams, including volunteers, vendors, clients and internal staff.

○ Ability to use discretion and diplomacy in dealing with donors, Board members, staff, volunteers and colleagues.

○ Ability to maintain a high level of confidentiality.

Pay: $23.00 - $26.00 per hour

Expected hours: 20.0 – 25.0 per week
