Position Overview

The Director, Finance & Administration is a senior leadership role reporting directly to the President and Director of the Library, responsible for overseeing the organization’s financial management, operational infrastructure, and administrative functions, including Finance, Facilities, Human Resources, and Information Technology. This position serves as a strategic partner to the Executive Leadership Team and Board of Directors, ensuring organizational sustainability, operational excellence, and compliance with all regulatory requirements.

Key Responsibilities

Finance
  • Oversee all financial operations, including budgeting, forecasting, financial reporting, cash flow management, investment oversight, and audit coordination
  • Ensure compliance with GAAP, nonprofit accounting standards, and all regulatory and grant requirements
  • Provide strategic financial analysis to support organizational planning and board decision-making
  • Establish and maintain strong internal controls, financial policies, and risk management practices
  • Lead and develop the finance team, fostering a high-performing, customer-service-oriented culture
  • Serve as the organization’s primary contact for audit & compliance, banking & insurance, procurement, contracts, and related legal matters
  • Act as the organization’s financial steward, supporting long-term sustainability and growth planning
Facilities
  • Provide high-level oversight of facilities operations to ensure safe, functional, and well-maintained environments
  • Supervise facilities leadership responsible for day-to-day maintenance, repairs, capital improvements, space planning, and security
  • Support long-term facilities planning, capital budgeting, and vendor management
  • Ensure implementation of safety protocols, sustainability initiatives, and operational efficiencies
Human Resources
  • Partner with HR leadership to guide strategy in recruitment, employee and labor relations, payroll & compensation, benefits, performance management, and training
  • Provide oversight to ensure compliance with employment laws and promote an inclusive, equitable workplace culture
  • Oversee development and implementation of HR policies, professional development programs, and staff engagement initiatives
Information Technology
  • Provide strategic oversight of IT operations to ensure systems effectively support organizational goals
  • Collaborate with IT leadership and/or vendors responsible for daily support, cybersecurity, infrastructure, and software systems
  • Guide technology planning, procurement strategies, and modernization efforts
  • Ensure system integrity, data security, and business continuity planning

Team Leadership & Community Liaison
  • Leads cross-functional initiatives, collaborating with internal and external stakeholders including the Board of Trustees, Electronic Information Network (EIN), Bellefield Boiler Plant, Allegheny County, and affiliated organizations
  • Actively supports key Board committees, including audit, facilities, finance, and compensation

Qualifications

The selected candidate will have a passion for connecting with the mission of the organization, fostering literacy, enabling exploration and creating connections with neighbors, in addition to possessing the following experience, skills and abilities:
  • Bachelor’s degree in Accounting or Finance required; CPA and/or advanced degree strongly preferred
  • 10+ years of progressively responsible experience in accounting, finance, and administration, including oversight of multiple administrative functions
  • Demonstrated experience managing capital projects required; experience with bond issuance and renewals preferred
  • Experience operating within complex quasi-governmental and/or nonprofit organizations strongly desired
  • Proven leadership, organizational, and time management skills, with a demonstrated commitment to public service and the ability to foster a culture of collaboration, accountability, transparency, and continuous improvement
