Position Summary

The Director of Executive Affairs serves as a key partner to the CEO, supporting the coordination and advancement of organizational priorities. This role is responsible for facilitating executive-level initiatives, supporting leadership team effectiveness, coordinating board committee engagement, and ensuring alignment across departments.

This position operates as a central point of coordination with the C-suite, helping ensure that priorities, decisions, and initiatives move forward efficiently and effectively. The role does not have supervisory authority over departments and instead works collaboratively to support organizational success.

Key Responsibilities

Executive Priority Coordination

  • Support the CEO and Chiefs in advancing organizational priorities and special projects
  • Coordinate cross-department initiatives and ensure alignment with organizational goals
  • Track progress and report on key priorities; support follow-up on executive decisions
  • Identify and elevate barriers to progress as appropriate

Leadership Team Coordination

  • Plan and coordinate leadership team meetings
  • Develop agendas and prepare supporting materials
  • Track decisions and action items and ensure follow-through
  • Coordinate leadership retreats, planning sessions, and /or committee work groups
  • Facilitate meetings/sessions, as needed

Board of Directors Support

  • Support preparation and coordination of board committee meetings
  • Assist in developing board materials and communications with the Executive Administrative Assistant
  • Track board action items and follow-up activities
  • Coordinate logistics for board meetings and retreats with the Executive Administrative Assistant.

Organizational Projects

  • Coordination/project management for CEO-led projects involving multiple departments
  • Facilitate communication and collaboration across teams
  • Support alignment of projects with organizational priorities
  • Track and report progress

Executive Office Support

  • Prepare briefing materials for CEO meetings and decisions
  • Assist with presentations, communications, and special projects
  • Other assignments as requested by the CEO

Qualifications

  • Bachelor’s degree required
  • 6-10+ years of relevant experience in executive support, project coordination, and/or organizational leadership
  • Strong organizational and project management skills
  • Excellent organizational skills, written and verbal communication skills
  • Ability to manage multiple priorities and work across departments
  • Capacity to learn and utilize multiple information systems and input, analyze and report data
  • High level of discretion/maintaining confidentiality, independent judgment, and professionalism
  • High emotional intelligence including clear communication, mediation, and conflict resolution abilities.
