Director of Facilities

The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties, and skills required of personnel so classified.

Summary of Responsibilities
: The Director of Facilities (DoF) plans, administers, and directs all activities related to facilities maintenance, custodial and grounds, will have financial accountability, and be in compliance with the standards established by the College. Establishes and maintains effective working relationships with other departments to provide a unified approach to facilities management.

The DoF will be responsible for the development & growth of the management team and hourly employees. The DoF will also focus on meeting and exceeding operating and financial goals, College objectives, industry standards/metrics, and customer needs. The DoF will have daily interaction with the College’s employees, students, and visitors. This individual will be focused on ensuring operational excellence in the delivery of the facilities services.

Essential Responsibilities
: (These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.)
  • Manage a facilities department to include maintenance, grounds & custodial services, and construction projects.
  • Manage all facets of the facilities organization including controlling assets and will manage labor costs, supply costs and inventories.
  • Analyze and recommend strategic facilities initiatives such as energy/utilities acquisition, energy savings initiatives, and ROI-based projects.
  • Plan and execute capital projects & equipment efficiently and within capital budgets.
  • Ensure annual updates to the 10-year Maintenance Plan to inform capital budget recommendations.
  • Ensure compliance with all facilities contract obligations, including but not limited to the Collective Bargaining Agreement.
  • Negotiate vendor and subcontractor agreements in line with College expectations and terms and conditions.
  • Works with Project Managers to support and pursue effective project outcomes.
  • Ensure the effective implementation of the comprehensive Safety Plan, driving full compliance of all safety rules, guidelines, and protocols.
  • Drive operational efficiencies, labor/scheduling productivity.
  • Drive a positive work environment and utilize effective communication skills at all levels of the organization.
  • Coordinate training, development, and performance management of personnel.
  • Deliver strong operational performance by ensuring compliance with regulatory agency standards and programs and translating and will ensure compliance with all OSHA regulations and other, local, state, and federal government regulations.
  • Leads facilities‑related safety initiatives, including employee safety training, participation in campus safety committees, incident reporting and corrective action processes, hazard prevention programs, and ongoing compliance with OSHA, environmental, and college safety policies and regulations. Lead development of team ensuring high performance, talent succession planning, optimal staffing, and employee engagement.
  • Establish and maintain effective communications and business relationships with clients/customers.
  • Establish regular contacts with key departments to ensure that facilities objectives are fully met and to understand departmental needs and objectives related to facilities.
  • Provides leadership to ensure the work order system is consistently utilized as a core tool for planning, tracking, and managing facilities operations.
  • Supervision:
    • Supervise regular and student employees to include interviewing, hiring, training, planning, assigning/directing work, coaching, evaluating performance, affirming, disciplining, addressing complaints, and resolving problems.
    • Must mentor employees under supervision. DoF should be able to lead in a way that sets a good example, promotes teamwork, and encourages a positive, efficient work environment.

Job Requirements – Labor:
  • General: Individuals must possess the knowledge, skills, and abilities listed or are able to explain and demonstrate that they can perform the essential responsibilities of the job, with or without reasonable accommodations in order to safely perform the essential responsibilities of the job.
  • Physical: Should be able to perform the following and similar physical demands in completing work tasks: walking, climbing, stooping, reaching, pushing, crouching, lifting, pulling, standing, kneeling, carrying, handling, talking, hearing, seeing, sitting. Able to lift up to 25lbs; lifts occasionally.
  • Confidentiality: Individuals must recognize that management of data, including personal information, grades, budgets, programs, and policies is necessary to the operation of the College. Such information must be kept private and confidential for the protection of the College and to obey Federal and/or State laws.   • Mental: Must be able to reason, analyze, prioritize, conceptualize, make judgments, and solve problems.

Qualifications:
  • Minimum:
    • Education: Bachelor’s degree from an accredited university/college or equivalent experience directly related to facilities management.
    • Experience:
      • Minimum 5 to 7 years of experience in facilities management required.
      • Previous construction management experience.
      • Prior experience in mentoring and developing management-level staff is required.
      • Experience leading an hourly staff of at least 10 persons.
      • Previous budget management and planning experience required.
    • Skills/Abilities:
      • Knowledge of facility related equipment, financial analysis and interpretation required.
      • Experience and knowledge of custodial, grounds and maintenance services (boilers, chillers, generators, HVAC/R preferred).
      • High degree of integrity and business maturity.
      • Computer and Data Analysis Skills (including Word, Excel, Outlook, Work Order Systems, and PowerPoint)
      • Demonstrated time management skills, resulting in the ability to manage multiple client relationships and prioritize time and resources accordingly.
      • Ideal candidates will possess a high energy level that is communicated to the team they will lead.
      • Demonstrate proven success in interfacing with a variety of organizational functions and considerable negotiation skills are also needed to drive results.
      • The ability to manage in a diverse environment with focus on client and customer services is a key success measure.
      • Highly developed interpersonal, analytical and communication (written and verbal) skills and experience are essential for success in this role.
      • Candidates must possess a demonstrated attention to detail and ability to lead directly and through influence.
    • Christian Commitment: An eligible candidate must be a thoughtful and articulate Christian and an active member of a Protestant evangelical Christian church. Preference will be given to the candidate who supports and has an articulate understanding of the Reformed faith. An eligible candidate must understand and support the College’s “Foundational Concepts of Christian Education” by expressing an evangelical Christian profession of faith and demonstrate the ability to integrate a Christian perspective in their work.
  • Preferred:
  • Education: Bachelor’s degree from an accredited university/college in facilities management, engineering, or facilities-related field.
  • Education: Master of Business degree.
  • Certificates and/or training in facility-related fields such as Building Maintenance, HVAC systems, boiler systems, grounds, electrical, plumbing, cleaning chemicals and methods, or other facilities-related training.
