Job Summary:

The Director of Fitness & Wellness Design & Procurement supports VP‑led strategic planning, sourcing, and execution for fitness centers, wellness areas, athletic/performance zones, and recovery spaces, ensuring brand consistency, cost awareness, vendor optimization, and on‑time delivery for new developments, renovations, and operational needs. This role partners with Business Development, Operations, Finance, Consulting, and Executive Leadership to align fitness & wellness design with financial and operational objectives.

They must understand how to zone and program a fitness center for components of fitness and athletic pursuits (strength, cardio, functional training, turf, studios, aquatic support, recovery, circulation), be familiar with commercial fitness equipment options and major industry suppliers, and interpret MEP, architectural, structural, and construction requirements essential for equipment integration. The role requires strong knowledge of ADA requirements and inclusive design for diverse populations and ability levels.

Key Responsibilities:

Design Strategy & Brand Execution

  • Establish and maintain design standards for fitness centers, performance studios, athletic training zones, wellness/recovery areas, and related amenities.
  • Lead concept development support for new fitness & wellness builds, deals, repositioning projects, and capital upgrades under VP direction.
  • Ensure spaces balance user flow, ADA accessibility, safety clearances, durability, maintenance needs, and operational flow.
  • Review architectural plans, MEP/electrical loads, lighting, FF&E selections, and fitness equipment layouts tied to zoning, spacing, and safety.
  • Collaborate with operators to ensure layouts optimize staffing models and member/guest experience.
  • Oversee external architects, designers, and specialty consultants on day‑to‑day deliverables; escalate strategic decisions to the VP.

Amenity‑Specific Expertise

  • Develop design standards for fitness layouts (equipment spacing, ADA compliance, safety clearances, circulation, acoustic planning, flooring performance; zones for strength, cardio, functional/turf, group fitness, recovery). Integrate recovery modalities and wellness adjacencies where applicable.
  • Ensure ADA compliance, local code adherence, and life‑safety considerations.
  • Integrate evolving fitness trends, performance training standards, and inclusive design into strategy with VP review.

Procurement & Strategic Sourcing (one‑level‑down from VP)

Support the VP in sourcing and purchasing commercial fitness equipment, flooring, mirrors, AV, technology integration, lockers, recovery tools, and key OS&E items, including gathering quotes, specs, and options for VP review.

Prepare negotiation materials and analyses to support VP‑led national vendor contracts and preferred supplier programs with major fitness equipment providers.

Coordinate RFPs, compile bid‑leveling matrices, and draft contract summaries for VP approval.

Monitor supply chain risk, track long‑lead items, and escalate issues with recommended solutions to the VP.

Coordinate installation schedules with vendors and internal teams to align with VP‑approved development and opening timelines.

Financial Management (support vs. ownership)

Assist the VP in developing and maintaining procurement budgets for multi‑site capital projects.

Provide pricing updates, forecast inputs, and variance explanations to Finance in partnership with the VP.

  • Track committed costs vs. budget, draft change orders, and route for VP authorization.

Identify opportunities for portfolio‑wide savings (standardization, alternates, consolidation) and present recommendations to the VP.

‑Functional & Owner Collaboration (coordinator + implementer)

Act as day‑to‑day coordinator among Business Development, Consulting, and Operations on fitness/wellness design and procurement matters, elevating strategic items to the VP.

Prepare presentation materials (design concepts, budgets, sourcing strategies) for the VP to present to senior leadership and owners; co‑present as requested.

Support the VP in ensuring seamless turnover from construction to operations, managing punch‑lists, O&M documentation, and closeout packets.

Leadership (team lead, not enterprise lead)

  • Lead the day‑to‑day work of the fitness design & procurement team in alignment with VP direction; provide coaching and workload management.
  • Implement KPIs and dashboards defined with the VP (cost control, on‑time delivery, quality) and report progress/risks regularly.
  • Identify process improvements and vendor performance opportunities; propose and execute enhancements with VP approval.

Qualifications (fitness/wellness emphasis; VP‑supported)

  • Bachelor's degree in Interior Design, Architecture, Construction Management, Supply Chain, or related field.

- 8-12+ years of experience in fitness & wellness amenity design

  • Demonstrated success managing supporting multi‑million‑dollar CapEx programs and procurement workstreams.
  • Deep understanding of commercial fitness equipment, flooring systems, AV/tech integrations, and equipment installation requirements.
  • Strong contract negotiation and vendor management expertise with the ability to support VP‑led negotiations through analysis and preparation.
  • Proficiency in project management and procurement platforms.
  • Ability to interpret MEP plans, structural requirements, electrical loads, and site conditions required for safe and effective equipment installation.
  • Comprehensive understanding of ADA and inclusive design standards for fitness spaces.
  • Knowledge of major fitness equipment manufacturers and sourcing channels.
