Urgent Need: Director of Legal Operations

What you’ll do:

  • Operational Leadership & Strategy: Oversee day-to-day firm operations across departments, ensuring smooth, efficient, and consistent processes. Serve as a trusted operational partner to firm leadership, translating vision into actionable operational strategies that drive growth and scalability. Identify opportunities to optimize firm productivity and performance, proactively recommending and implementing solutions. Collaborate with leadership to develop and execute marketing strategies, including referral engagement and outreach initiatives. Implement systems to track, engage, and nurture referral sources; oversee tools such as Levitate to maintain strong referral relationships.
  • Technology & AI Enablement: Proactively identify and implement technology solutions, including AI-powered tools, automation platforms, and legal technology systems that drive efficiency, accuracy, and profitability across operations. Stay informed on emerging trends to ensure the firm remains competitive and innovative. Lead initiatives to explore and integrate new technologies (including AI) to improve firm efficiency, productivity, and client service.
  • Financial Oversight & Bookkeeping: Oversee bookkeeping and financial reporting, ensuring accurate categorization, reconciliation, and documentation. Review settlement disbursement sheets, vendor invoices, and financial transactions with meticulous attention to detail. Partner with external bookkeeper to ensure financial accuracy and compliance with trust/escrow account management. Establish and monitor financial controls to prevent errors, misbilling, or overcharges.
  • KPI Development & Accountability: Build, implement, and maintain key performance indicators (KPIs) across all operational areas. Use data to monitor firm health, identify trends, and drive continuous improvements. Conduct audits and regular reviews to ensure accountability at all levels.
  • Human Resources & Team Enablement: Manage basic HR functions, including interpersonal relations, employee onboarding, and coordination of firm outings or team activities. Partner with legal and paralegal teams to create structured onboarding and training pathways for new hires. Foster a positive, collaborative office culture aligned with the firm’s core values.
  • Vendor & Resource Management: Manage vendor relationships, negotiate contracts, and oversee procurement of office supplies and services. Ensure vendors meet firm standards for service, cost-effectiveness, and reliability.
  • Project Management & Process Improvement: Lead high-impact operational projects, ensuring timely execution, clear success metrics, and ongoing evaluation. Conduct periodic reviews of existing processes to identify gaps and implement sustainable solutions.

What we’re looking for:

  • Experience & Leadership: 5+ years of operational leadership experience, ideally in a law firm or professional services environment. Experience in legal operations strongly preferred.
  • Law Firm Operational Expertise: Deep understanding of law firm processes, billing, financial compliance, and best practices for operational excellence.
  • Strategic Problem Solver: Ability to assess complex challenges, identify root causes, and propose effective solutions aligned with firm growth objectives.
  • Meticulous Attention to Detail: Demonstrated precision in financial oversight, invoicing, and process management.
  • KPI & Performance Management: Proven experience developing and managing KPIs to drive team accountability, track referral sources, and inform operational decisions.
  • Marketing & Business Development Support: Skilled at supporting referral marketing, outreach efforts, and tracking engagement metrics.
  • Tech-Savvy: Open to exploring and integrating technologies such as AI platforms, Levitate, and other operational tools.
  • Leadership Qualities: Military experience or collegiate athletics experience a plus for leadership, discipline, and team orientation.
  • Collaborative & Professional: Exceptional interpersonal skills; able to foster strong relationships within a close-knit team and maintain high standards of confidentiality and professionalism.

Job Type: Full-time

Pay: Up to $130,000.00 per year
