Director of Operations/Executive Administrative Assistant

Overview
We are a growing Real Estate team on the Eastside looking for a Director of Operations /Executive Administrative Assistant. This pivotal role combines strategic oversight of daily operations with comprehensive administrative support to ensure the smooth functioning of our organization. The ideal candidate will be a proactive leader, adept at managing multiple responsibilities, streamlining processes, and fostering a productive work environment. Your energy, attention to detail, and exceptional communication skills will drive efficiency and support our mission to deliver outstanding service and operational excellence.

You are someone who sees what needs to happen before being told. You build systems before problems arise, communicate proactively, and take real ownership over outcomes. You don't need to be in the spotlight -- you're the reason the whole operation works.

You are deeply process-oriented and detail-driven, but you can also think on your feet. When something breaks or something unexpected lands, you handle it -- and you bring a solution, not just a flag.

This role grows with the business. Over time, you will take on increasing leadership responsibility, including building and managing a support team of your own.

Operations and Systems

  • Build, document, and manage all core business systems: transaction workflows, client communication, database management, and back-office operations
  • Create and maintain a living operations manual that captures every process and standard
  • Coordinate purchase, installation, and maintenance of all office tools and equipment

Transactions and Compliance

  • Oversee all contracts through closing, ensuring nothing slips
  • Serve as the point of contact for vendors, title, lenders, and transaction coordination as needed

Finance

  • Manage bookkeeping, accounts payable and receivable, and commission tracking
  • Maintain budget oversight and produce regular financial reports via Quickbooks

Client and Vendor Experience

  • Serve as a first point of contact for client and vendor inquiries -- professional, warm, and responsive
  • Keep the lead agent informed of issues early, and bring solutions when you do

Team Leadership (as the business scales)

  • Hire, train, and hold accountable additional administrative team members
  • Model the team's standards and serve as the operational anchor of the business

Skills

  • Strong written and verbal communication with a professional, personable presence
  • Exceptional organizational ability -- you build structure, you don't just work within it
  • Sound judgment and the ability to act independently when it counts
  • Solid bookkeeping and financial reporting skills
  • A genuine drive to do things the right way, not just the fast way
  • Real estate experience or license preferred -- not required for the right candidate
  • High school diploma required; bachelor's degree preferred
  • 1 to 3 years of service or management experience
  • 3 to 5 years of administrative or operations experience

Compensation

We offer a competitive package that reflects the significance of this role to the business. Components include:

  • Base salary: $29-$35 an hour depending on experience
  • Performance-based bonus tied to sales / team growth / other metrics.
