Director of Payroll

RESPONSIBILITIES

1. Payroll Operations Management

  • Direct and oversee end-to-end payroll processing (biweekly/weekly cycles for hospital staff)
  • Ensure accurate payment of:
  • Nurses, physicians, union staff, per diem staff, and administrative employees
  • Approve payroll disbursements and adjustments (overtime, shift differentials, bonuses)
  • Maintain payroll records and reporting systems

In healthcare, this includes complex scheduling, multiple pay types, and union rules

2. Compliance & Regulatory Oversight

  • Ensure compliance with:
  • Federal and New York State payroll laws
  • IRS, FLSA, and healthcare labor regulations
  • Oversee payroll tax filings, garnishments, and benefit deductions
  • Monitor regulatory changes and implement updates

Payroll directors are responsible for ensuring compliance with federal, state, and local laws and maintaining accurate tax reporting.

3. Team Leadership

  • Manage payroll staff (payroll managers, analysts, coordinators)
  • Provide training, performance management, and mentorship
  • Establish internal controls and workflow standards

4. Systems & Process Improvement

  • Oversee payroll systems (ADP – Workforce Now and Enhanced Time and Attendance)
  • Drive automation and efficiency initiatives
  • Partner with IT and HRIS teams for system upgrades

Payroll leaders are expected to implement process improvements and optimize payroll systems for efficiency and accuracy.

5. Financial & Audit Responsibilities

  • Reconcile payroll with general ledger and financial statements
  • Support internal and external audits
  • Ensure proper accounting of wages, taxes, and benefits

In hospital roles, this includes audit readiness and financial reconciliation of payroll accounts.

6. Cross-Department Collaboration

  • Partner with:
  • Human Resources (hiring, terminations, benefits)
  • Finance (budgeting, labor cost analysis)
  • Department leaders (staffing and payroll planning)
  • Provide payroll analytics and reporting to leadership

Qualifications

Education

  • Bachelor’s degree in Accounting, Finance, or related field (required)

Experience

  • 5–10+ years in payroll, including leadership experience
  • Experience in healthcare or unionized environments strongly preferred

Job Type: Full-time

Pay: $120,000.00 - $145,000.00 per year
