Job Description and Responsibilities
Caton Property Management is seeking an experienced Director. Primary role is to ensure the property management division runs smoothly and profits are maximized.
REQUIREMENTS OF POSITION:
- Minimum of 5 years in a directorial or equivalent role
- IL Real Estate Broker License
- IL CAM or CMCA License, if candidate holds a CAM license, must be willing and able to obtain new CMCA License which is replacing CAM in IL
Primary Responsibilities:
- ·Manage administration of property management operations of the Company.
- Create and cultivate business development opportunities in the marketplace and within the Company.
- Manage the revenue and operational budgeting of property management to ensure profitability.
- Determine and negotiate fees for new property management proposals to new prospective clients.
- Oversight of all client relationships.
- Supervise all property management staff.
- Oversight of onboarding new property management assignments.
- Handle any client matters that require upper management attention.
- Develop best practice standard operating procedures.
- Establish and maintain relationships with colleagues, brokers and appraisers in other departments within the Company.
- Develop and maintain relationships with suppliers, vendors, contractors, and all others serving the properties and Company.
- Oversee annual bidding process for all contracts for site services.
- Maintain a positive relationship with local city officials
Position has oversight or directly responsible for, but not limited to, the following:
Personnel
- Report directly to the COO of the Company.
- Responsible for employee recruitment, hiring, training, evaluations, termination, and implementation of all other employment decisions for employees regarding direct reports in accordance with Company resource policies and procedures and guidance from COO and all in accordance with the law.
- Lead and supervise property management team, consisting of property managers, bookkeepers and administrative personnel.
- Inspire a team spirit and encourage excellent service amongst the staff and its clients.
- Conduct monthly property management meetings.
- Develop quarterly goals, incentive structures and KPIs for all property management team members.
- Approve PTO requests from staff, as applicable.
- Motivate and inspire team to excellence.
- Ensure observance of safety regulations and risk mitigation procedures.
- Conduct annual performance reviews with direct reports.
Operations
- Correspond with clients on out of the ordinary matters.
- Oversee investigation and resolution of tenant complaints; ensure leases are enforced
- Visiting properties quarterly to ensure properties are secured and in good clean condition.
- Ensure there is a call tree for every property for proper response to emergencies.
- Oversight of all monthly reporting packages to clients are correct and delivered timely.
- Participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
- Ensuring clients’ needs and requests are met accordingly.
- Oversee the insurance renewals for all properties under management with insurance broker.
- Ensure proper and current COIs are being kept.
- File insurance claims on behalf of client when applicable and oversee process with insurance adjuster.
- Oversee lawsuits filed against Company and coordinate communication with attorney representing the Company.
- Oversee and participate in monthly client calls, as needed.
- Preparation of association budgets.
Financial
- Ensure financial objectives are being met for clients by collecting rents; paying bills; forecasting requirements; preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective action.
- Oversee the creation of annual operating budgets for all properties managed.
- Review budgets with property managers prior to sending to clients for approval.
- Audit financial statements, reports and reconciliations to clients.
- Ensure new lease terms are entered in software platform correctly.
- Manage accounting staff to ensure annual requirements are met, such as 1099s, and CAM reconciliations are done and sent out on a timely manner.
- Examine all contracts pertaining to services for the property management services of the Company.
- Authorize contracts in accordance with Company policies and procedures and in accordance with budgetary guidelines.
- Review capital expenditure needs for each property with property managers and provide guidance for budgeting.
