Overview:
The Director of Purchasing will provide the acquisition of food, beverage, and general purchases at maximum economics based on business activity. He/She will act a as senior liaison between individuals in the hotel and supplier representatives in the procurement of goods and services required to achieve the objectives of each department.

Responsibilities:
  • Directly supervise the Purchasing staff through delegation of work tasks to achieve set objectives.
  • Attend all Food and Beverage and related meetings such as menu tie-down, weekly forecast and Financial Services. Conduct department staff meetings to review and discuss new objectives and other concerns identified in interdepartmental meetings.
  • Maintain close communications with Chef and Catering Department on requirements for future menu events to evaluate menus against par Inventories in determining necessary requirements for outlets and banquet functions.
  • Coordinate and monitor work performed by Storeroom Manager, specifically Food and Beverage requirements according to forecasted menus.
  • Establish and maintain training tools for subordinates to achieve a better knowledge and understanding of the Purchasing process and applications such as: product familiarity, receiving and storage standards. EOM reconciliation of Food and Beverage, EOM Accounts Payable closing.
  • Coordinate with vendor to set up site visits of their facilities to aid key personnel in Purchasing and Storerooms as a training tool to improve basic knowledge of commodities used.
  • Counsel and make, as needed, assessment of present and/or new associate job performance to determine what specific training is required to achieve desired results.
  • Evaluate vendor performance in compliance to Purchasing bid procedures. Monitors vendor ability to provide timely and consistent quality according to established specifications.
  • Maintain close communications with Corporate Purchasing offices for placement and follow-up on quarterly and annual order requirements.
  • Attend area hotel and restaurant shows and seminars to establish new vendor relations and learn of new products and ways to improve present operation.
  • Sets the exemplary role of specialty retail service. Ensures the number one priority of all sales associates is the customer and customer service.
  • Create and manage a team based environment with staff and continually evolve developing a positive atmosphere within the department
  • Responsible for managing coordinating all functions of the gift shop, including inventory, ordering & re-stocking of the retail shop.
  • Screening, hiring, training, supervision and scheduling of all retail staff.
  • Interact with other departments to ensure that guest’s needs are satisfied.
  • Speak with guests & associates in a friendly, warm manner, making them feel welcome.
  • Assist with monthly inventory. Coordinates the checking in of products, merchandising product on floor, and warehousing back stock.
  • Manages scheduled monthly and quarterly inventories by delegating work, taking inventory with POS scanning guns, coordinating all re-counts, coordinating all inventory verifications with accounting and compiling data results, while following all inventory procedures that align with internal audit compliance
  • Assists in data entry in Point-of-Sales (POS) software by entering and checking data that is entered into the system. Ensures that all employees are trained on how to enter correct data.
  • Manages daily replenishment of back stocked product to the sales floor, as well as maintaining a clean and organized back stock room.
  • Adhere to all policies regarding gift shop employee purchases.
  • Ensure the delivery of all items called for from guest rooms by confirmation with guests and verify guest room number for room charges.
  • Do not leave merchandise unsecured and follow proper procedure for payment of goods sold.
Qualifications:
  • Prior experience leading a Purchasing and Retail department within the Hospitality industry, preferred.
  • Procurement experience in Hotel or Food & Beverage industry preferred
  • Reading, writing, and oral proficiency in the English language required, must be able to communicate with guests and staff professionally and with empathy.
  • Ability to handle stressful situations, while maintaining a calm and welcoming demeanor.
  • Strong organizational skills with the ability to multi-task and provide guest follow up in a fast-paced environment.
  • Must have the ability to delegate, effectively train and coach a team with diverse talents.
  • Must have highly developed customer service skills with strong attention to detail.
  • Proficient computer skills including but not limited to Microsoft Word, PowerPoint, Excel, and Outlook.
  • Maintain a professional business appearance, attitude, and performance.
  • Must be able to work a variety of shifts, including weekends, and holidays.
  • Move, bend, lift, carry, push, pull, and place objects weighing up to 50 pounds without assistance.
  • Stand, walk or sit for an extended period or for an entire work shift.
  • Requires repetitive motion, including utilizing telephone/computer for an extended period or for an entire shift.
