Director of Welcome Center and Campus Experience

Position Summary
The Director of the UIW Welcome Center and Campus Experience is responsible for directing the UIW campus visit experience for prospective students, families, and K-12 school groups. The position directs the student ambassador program, yield and engagement events, and new student orientation. The Director of Welcome Center and Campus Experience reports to the Associate Vice President for Enrollment Management and the Student Experience.

UIW Campus Visit Experience

Description of Job Duties
  • Oversees daily operations of the Welcome Center, ensuring an engaging and professional environment for all visitors.
  • Develops and implements an innovative campus tour program, including individual and group visits, and specialty experiences.
    • Trains all ambassadors/student workers.
    • Collaborates with Residence Life to provide housing tours in conjunction with campus visits.
    • Collaborates with faculty to coordinate classroom visits in conjunction with campus visits.
  • Hires, supervises, trains, and mentors student tour guides and Welcome Center staff to deliver high-quality campus visits.
  • Conducts assessment of the campus visit experience; collects feedback from both visitors and tour guides, and utilizes feedback to make appropriate changes to the campus visit experience.
  • Manages the UIW tour webpage and reservations; collaborates with DSM to create appropriate communications for the dissemination of tour information.

Description of Job Duties
  • Plans, executes, and assesses large-scale recruitment and yield events, including but not limited to:
    • Cardinal Preview Days,
    • Cardinal Overnight Programs,
    • Cardinal Classrooms,
    • Monthly Saturday Campus Visit days,
    • Scholarship Receptions,
    • Information sessions, and
    • Other campus recruitment days.
  • Plans, executes, and assesses summer engagement events.
  • Collaborates, as appropriate, with other UIW support service offices and faculty to ensure success of campus recruitment events.
  • Tracks attendance and collects feedback to assess events; utilizes feedback to make continuous improvements to campus recruitment events.

Student Ambassador Program

Description of Job Duties
  • Maintains the student ambassador application system and ensures it is open to students each year as scheduled.
  • Organizes and conducts interviews for the ambassador program. Completes scoring for applicants and extends appropriate offers.
  • Selects and orders all appropriate apparel and gear needed by ambassadors to professionally represent UIW.
  • Creates and executes training of new ambassadors.
  • Meets with ambassadors on a bi-weekly basis to gather feedback and provide additional support/training as needed.
  • Plans and conducts three ambassador team meetings throughout each fall and spring semester to include leadership training and team development.
  • Manages and maintains the annual ambassador budget.

  • Plans, executes, and assesses New Student Orientations.
  • Collaborates, as appropriate, with other UIW support service offices and faculty to ensure success of new student orientations.
  • Tracks attendance and collects feedback to assess events; utilizes feedback to make continuous improvements to campus recruitment events.
  • Manages and maintains the annual orientation budget.

Description of Job Duties
  • Creates and manages the ambassador/student worker front desk coverage schedules for both the Welcome Center and Admissions.
  • Ensures ambassadors/student workers are working required hours and maintains records of worked hours.
  • Ensures all email inquiries received through the Campus Visit email are appropriately responded to in a timely manner.
  • Ensures all text inquiries received via the university texting platform are appropriately responded to in a timely manner.
  • Manages inventory of all Admissions promotional items, materials, and products.

Qualifications

Knowledge Skills and Abilities
  • Advanced MS Office Excel, Word, PowerPoint, Outlook and Teams.
  • Proficient with CRMs – preferably Recruit and Element 451.
  • Ability to build strong relationships with the admissions team and departments across campus.
  • Ability to successfully develop, coordinate, and plan campus-wide programming.
  • Highly organized and detailed oriented with ability to effectively multitask.
  • Excellent prioritization skills and ability to meet deadlines.
  • Strong problem-solving and quick decision-making skills. Strong adaptability to changing needs, schedules, weather, and unscheduled visits; ability to pivot and work when crisis occur in events; ability to effectively execute risk management strategies.
  • Ability to assess, manage, a strategically work within an assigned budget.
  • Outstanding interpersonal skills and the ability to make a positive first impression.
  • Proficient in written and oral communication.
  • Ability to work effectively with individuals from diverse communities and cultures.
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.

Required Education
Bachelor’s Degree.

Required Work Experience
  • Six (6) years of professional experience in small and large event planning, coordinating, and program management. Note that relevant student experience will be considered.
  • Three (3) years of supervisory experience in an office or relevant setting. Note that relevant leadership experience will be considered.

Preferred Qualifications
  • Master’s Degree.
  • Professional experience with small and large university event planning.


Required Certifications, Licenses or Registrations
Must have a valid driver license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW.

Work Hours
Monday through Friday 8am to 5pm with extended hours as needed to include weekend hours, especially in the planning and execution of events, to meet departmental goals.

Physical Demands
  • Ability to lift up to 25 lbs of recruiting and promotional materials.
  • Ability to reach overhead, bend, squat to retrieve marketing/event materials.
  • Ability to push/pull library/equipment carts holding up to 40 lbs.
  • Ability to actively engage in events for extended periods of time.
  • Ability to regularly move about campus and event venues to actively engage faculty, staff, and potential/current students, as well as attend meetings on and off campus.
