Dispatch and Operations Coordinator (Healthcare)

Key Responsibilities

  • Manage dispatch and tracking operations for ambulances, ensuring timely coordination and response.
  • Respond promptly to emails, chats, and calls, maintaining professional and courteous communication.
  • Update and maintain the following operational reports and trackers on a daily basis:
  • Patient Tracker – record and monitor hospital patient movements and related activities.
  • Daily Call Activities Tracker – log all incoming and outgoing calls, ensuring accurate data entry.
  • Daily Operations Plan – prepare and update the daily operational plan, aligning tasks and ambulance schedules.
  • Ambulance Transfer Tracker – monitor and update all ambulance transfer details and timings.
  • On-Call Doctor Department Tracker – maintain schedules and activity logs for on-call doctors.
  • Daily Call Activities Tracker (Secondary) – ensure backup logging of all call operations where required.
  • Pending Agreement Tracker – track agreement statuses and pending documentation for client services.
  • Prepare and submit the daily shift report, summarizing operational highlights and challenges.
  • Draft and process agreements and invoices, ensuring accuracy and proper record-keeping.
  • Regularly update the operations tracker to reflect current activities, assignments, and ambulance status.
  • Update and maintain the company calendar when required, including meetings, shifts, and other scheduled events.

Requirements

  • Previous experience as a Dispatcher, Call Center Agent, or Operations Coordinator in healthcare, ambulance, or emergency services is highly desirable.
  • Strong communication skills in English and Arabic (additional languages are an advantage).
  • Ability to remain calm, professional, and decisive under pressure.
  • Familiarity with emergency response procedures, healthcare operations, and dispatch systems.
  • Proficiency in computer systems, MS Office, and call-handling software.
  • Strong organizational and multitasking abilities.
  • Willingness to work in shifts, including nights, weekends, and holidays.
