Overview

As a Dispatch Assistant for Student Transportation, you will support the day-to-day coordination of student transportation operations in a fast-paced, phone-heavy environment to help ensure trips are scheduled, communicated, and completed smoothly and on time. In this role, you will serve as a proactive support partner who can adapt to established workflows while helping keep operations running efficiently.

You will work closely with dispatch and Transportation Service Providers (drivers) to keep routes organized, respond to service needs, and help deliver a reliable experience for schools, students, and families.

Key Responsibilities

  • Assist with the daily coordination of student transportation dispatch operations to ensure routes and trips are scheduled efficiently and completed on time.
  • Anticipate the needs of the lead dispatcher to ensure seamless communication and timely follow-through on operational priorities.
  • Communicate regularly and professionally with Transportation Service Providers, schools, parents/guardians, aides, and internal team members to support coordination, problem-solving, and day-to-day operations.
  • Monitor route assignments, trip status, and service issues to maintain reliable and consistent transportation service.
  • Assist with resolving same-day transportation concerns, delays, cancellations, and other operational disruptions promptly.
  • Maintain accurate records of schedules, trip details, notes, incident reports, and communication in internal systems.
  • Track route changes, service requests, and transportation updates to support clear visibility for the operations team.
  • Collaborate with dispatch and operations staff to support smooth daily workflow and effective problem-solving.
  • Follow company procedures and communication standards to help ensure safe and consistent service delivery.
  • Assist with other administrative and operational duties as needed to support the student transportation department.

Qualifications

  • 1+ years of experience in dispatch, transportation coordination, customer service, or a related administrative support role.
  • Experience working in a fast-paced environment where accuracy, responsiveness, and multitasking are important.
  • Ability to learn and adopt existing departmental processes while maintaining consistency in daily work.
  • Strong communication skills, with the ability to speak professionally with a variety of internal and external contacts.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities, shifting schedules, and same-day service changes.
  • Comfortable documenting updates, notes, and trip information accurately in internal systems.
  • Experience with dispatch or scheduling software preferred; familiarity with iCabbi or similar platforms is a plus.
  • Basic proficiency with Microsoft Office, Google Workspace, or similar computer systems.
  • Problem-solving mindset with the ability to stay calm and professional during service disruptions.
  • Dependable, punctual, and able to work collaboratively as part of an operations team, with strong attendance required.

What We Offer

  • Weekly pay: Starting around $950.00, with additional earnings available through overtime.
