Job Summary:
The Dispatch Executive is responsible for overseeing and coordinating all dispatch-related activities, ensuring timely and accurate delivery of goods. The role includes managing dispatch schedules, coordinating with transporters, maintaining dispatch records, and ensuring compliance with documentation and safety standards.
Key Responsibilities:
- Plan and execute daily dispatch schedules based on production and customer requirements.
- Coordinate with transporters, drivers, and internal departments to ensure timely dispatch.
- Prepare and verify dispatch documents such as delivery challans, invoices, gate passes, and e-way bills.
- Monitor loading/unloading activities to ensure proper packaging and handling of materials.
- Maintain records of dispatched materials including quantity, date, transporter, vehicle details, etc.
- Track shipments and update stakeholders on delivery status.
- Address issues such as delays, vehicle breakdowns, or discrepancies in delivery.
- Ensure compliance with statutory requirements (e.g., GST, e-way bill) and company policies.
- Coordinate with the store and sales teams for dispatch planning and inventory availability.
- Generate daily/weekly/monthly dispatch reports.
Key Skills & Competencies:
- Strong coordination and organizational skills
- Knowledge of logistics and dispatch operations
- Proficiency in MS Office (Excel, Word) and ERP systems
- Understanding of transportation documentation (challan, invoice, e-way bill, etc.)
- Ability to work under pressure and meet deadlines
- Good communication skills (verbal and written)
