A Dispatch Executive coordinates the scheduling, assignment, and tracking of vehicles, drivers, and deliveries to ensure timely and efficient transportation of goods. Key responsibilities include optimizing delivery routes, managing driver communication, handling logistical issues, documenting shipments, and ensuring compliance with regulations. This role requires strong organizational, communication, and problem-solving skills, often involving the use of dispatch software and close collaboration with customers, drivers, and warehouse staff. Key Responsibilities
- Scheduling & Routing: Plan and assign delivery routes to drivers, adjusting them as needed due to traffic, weather, or customer requests.
- Driver & Vehicle Coordination: Dispatch drivers and vehicles to appropriate locations based on schedules, customer orders, and immediate needs.
- Shipment Tracking: Monitor the progress of shipments and drivers, providing updates on delivery times and statuses to customers and internal teams.
- Communication Hub: Act as the primary point of contact for drivers, customers, and other stakeholders, resolving issues, answering questions, and disseminating information.
- Documentation & Records: Maintain accurate records of deliveries, driver logs, maintenance schedules, and customer information.
- Issue Resolution: Address and resolve any problems or delays that arise during the transportation process, such as vehicle breakdowns or unexpected changes.
- Compliance: Ensure that all dispatching activities and drivers comply with relevant transportation regulations and safety guidelines.
- Software & Technology: Utilize dispatch and transportation management software (TMS) to manage routes, track shipments, and optimize logistics.

- Organizational & Time Management: Excellent organizational skills to manage schedules, routes, and multiple tasks effectively.

- Technical Proficiency: Familiarity with dispatch software, mapping tools, and standard office software like Microsoft Excel.
- Knowledge of Logistics: Understanding of supply chain processes and transportation regulations.
- Customer Service Skills: Ability to handle customer inquiries, complaints, and provide excellent service.
