Position Summary

The Commercial HVAC Service Dispatcher is a critical operational role responsible for scheduling and coordinating field technicians, communicating proactively with customers, and supporting the Service Manager in driving work to completion. This position requires exceptional organizational skills, strong communication ability, and a high sense of urgency in a fast-paced service environment.


Core Responsibilities

Scheduling & Dispatch

  • Schedule and dispatch HVAC technicians to service calls, preventive maintenance work, equipment startups, and warranty calls based on priority, availability, and technician skill levels
  • Coordinate with customers to schedule and confirm service appointments and provide proactive updates
  • Maintain accurate records of service calls, technician assignments, and customer interactions
  • Daily audit of technician payroll hours and work order completion

Administrative & Financial Support

  • Update and keep current customer databases
  • Issue purchase orders
  • Coordinate parts and material deliveries, receiving, and shipping
  • Validate and apply credit card transactions daily
  • Assist with accounts receivable communication, payment application, and collections as needed
  • Participating in job cost record-keeping activities as needed
  • Coordinate customer billing disputes with management

General Duties

  • Serve as the primary contact for answering phones and handling customer inquiries
  • Participate in management-defined special projects to improve process efficiencies
  • Participate in inventory management and validation as needed

Compensation & Benefits

Required Qualifications

Skills & Experience

  • Proficient with Microsoft 365 applications including Word, Excel, Outlook, OneNote, and PowerPoint
  • Experience with dispatching and scheduling in the HVAC industry
  • Strong organizational skills and high level of focus, attention to detail, and proactivity
  • Ability to understand and communicate work in process to assist Service Manager with driving work to completion
  • Ability to prioritize and manage multiple tasks efficiently
  • Excellent communication skills, both verbal and written
  • Ability to read, comprehend, and interpret service requests and dispatch information
  • Professional interaction with internal and external customers via phone and email
  • Ability to learn and use Enterprise Resource Planning (ERP) and Customer Relationship Management (CRM) software
  • Experience with Oracle NetSuite ERP software is a plus

Physical Requirements

  • Ability to sit for prolonged periods of time and view monitors for extended periods
  • Some lifting up to 30 pounds
