Distribution Operations Team Lead

Job Summary

The Distribution Operations Team Lead provides assistance in supervision, administrative direction and production to the Distribution Operations team within TriWest Healthcare Alliance. This position plays a key role in supporting the Department of Veterans Affairs (VA/CCN), T5 and TriWest Operations by ensuring accurate reporting, processing, triage, and tracking of medical documentation, incoming and outgoing correspondence, special projects, as well as compliance with contracts, state and federal regulations.


Education & Experience

Required:

  • High School Diploma or G.E.D.
  • Minimum 2 years of administrative or healthcare operations experience.
  • Demonstrated experience in acting as a team lead with staff, , audits, and reporting.
  • Strong computer literacy in Microsoft Office Suite (Excel, Outlook, Word, OneNote, SharePoint).
  • Excellent organizational, communication, and time management skills.
  • Valid Driver’s License and clean driving record
  • Pass a DOD background check
Preferred:

  • Bachelor’s Degree in Business Administration, Healthcare Management, or related field.
  • Prior supervision experience
  • Prior experience with federal healthcare programs (VA, TriCare, DD/BH, IHSS).
  • Experience with remote or multi-site team management.


Key Responsibilities

  • Train, support and assist with daily direction to the Distribution Operations team, promoting accuracy, efficiency, and accountability in meeting productivity standards.
  • Assist in overseeing daily workflow operations, including processing, triaging, and data entry of incoming and outgoing medical documentation.
  • Conduct administrative audits and prepare monthly, quarterly, and annual production reports for leadership.
  • Assist leadership in managing vendor invoicing, cross-reference charges, and maintain tracking spreadsheets to ensure usage billing is accurate.
  • Support annual goal-setting, performance evaluations, and professional development for team members.
  • Participate directly in production tasks as well as special projects to ensure completion and meeting deadlines set by each department and project.
  • Collaborate with cross-functional departments to streamline communication, workflow, and data management.
  • Develop and update templates, forms, and process documentation to support standardization and compliance.

  • Coordinate and monitor mail merges, large-scale correspondence projects, and postal service reporting.
  • Assist with escalated provider, veteran, and family member inquiries.
  • Participate in departmental meetings, audits, and process improvement initiatives.
  • Maintain compliance with all internal policies, VA guidelines, and HIPAA regulations.
  • Promote a positive team culture through coaching, engagement activities, and retention efforts.

Working Conditions

Working Conditions:

  • Office environment with occasional physical activity related to mail handling (lifting up to 25 lbs).
  • Flexibility to work varying shifts as business needs require.
  • May oversee both local and remote team members across multiple locations.
