Polyform Products is a privately held company that manufactures and sells polymer clays and tools to the Arts and Crafts industry.
The position of Distribution & Shipping Manager plans and directs all operational and administrative functions of Polyform Products warehousing operations including direct reports to include customer service, shipping supervisor, material movers, and order pickers. Has primary responsibility for receiving / shipping, inventory control, staffing, personnel development. This position reports to the Vice President of Operations. The incumbent is responsible for effectively supervising and motivating all associates. Through continuous efforts and use of lean tools, incumbent drives the distribution process to increasingly better performance, tracking and measuring KPI’s.
Position Summary & Essential Duties and Responsibilities:
Warehouse Operations
- Responsible for ensuring operational excellence in all warehouse areas including B2B and B2C.
- Evaluates the effectiveness of and recommends alternatives for work methods, procedures, systems, controls and staffing to improve operational productivity, order processing and shipping / receiving of customer orders in a timely and cost effective manner.
- Manage 3PL suppliers as well as local small packaging contracts
- Drive an environment of continuous improvement through metrics that supports the company's goals and objectives.
- Ensure warehouse layout is optimally aligned for maximum efficiency.
- Develop and maintain warehouse process documentation and procedures to meet all compliance or governing bodies’ requirements.
- Investigates customer complaints involving such matters as damaged product, overcharges, delays, picking, packing, or other situations related to the handling and transportation of goods to the Customers. Takes the appropriate actions needed to ensure customer satisfaction.
- Collaborate with key cross-functional business partners, including Manufacturing, Finance, Customer Service, QA, and other departments to ensure customer satisfaction and business objectives are met.
- Reviews inventory reports, sales order reports, and available material reports and devises plans for current and future fluctuations in warehousing operations.
- Provides direction and assistance to the team about required resources needed to respond to workload variances.
- Ensure that temporary labor is being effectively trained and utilized.
- Project management experience to implement various systems and processes
Ecommerce
- Ensures that the layout, equipment and personnel are setup to meet the demands of the business.
- Reviews the daily scheduling of personnel to ensure proper staffing in order to select and receive products at the facility in a productive and cost-efficient manner.
Performance Management
- Establishes and manages key performance indicators and other related measurements, providing analysis, reporting and recommendations on a timely basis; implements recommendations as needed.
- Develops and monitors warehouse metrics on a daily, weekly, and monthly basis.
Inventory
- Ensures that inventory and cycle counts are effectively performed while working to facilitate timely investigations and adjustments.
- Responsible for inventory accuracy within the facility.
- Works with the Purchasing Manager and the Quality Manager to help proactively manage all non-conforming materials in a timely manner; engages cross-functional teams to facilitate appropriate disposition of items as needed.
Customer Service
- Oversee the Customer Service function at Polyform Products including all functions related to order management.
- Develop customer service standards, policies and procedures for the department and work with Sales, Operations and management to enforce.
- Monitor and report baseline customer service key performance indicators (KPI), including product availability, order fill rate, order to delivery and promotional analysis.
- Support Customer Service on product and shipping questions, and communicate with customers, purchasing and sales.
- Capture and record service issues and implement process improvements.
General / Safety
- Ensure a Culture of Safety throughout the department and organization by following and enforcing all safety policies and procedures.
- Ensure high standards for housekeeping are maintained in all areas of the facility.
- Ensures all policies are adhered to and effectively managed.
- Assumes additional related responsibilities as required.
Experience / Skills
- Bachelor's Degree in Business or Engineering with a focus on Operations Management, Logistics, Supply Chain Management, or Business, Masters Degree a plus.
- A minimum of five years of experience in distribution, warehousing and transportation to include a minimum of five years of experience in warehousing operations and management.
- Working knowledge of the following supply chain functions: Purchasing, Demand Planning, Production Planning, Order Entry, Order Management, Inventory Management, and Transportation.
- Some Project Management experience is a plus.
- Strong organizational skills with the ability to communicate clearly and effectively.
- Excellent communication, facilitation, and conflict resolution skills; ability to drive consensus.
- Experience with WMS systems and Scanner / RF technology with prior experience with implementation of systems.
- Willingness to aggressively and professionally confront challenging situations.
- Experience working in a manufacturing environment is plus.
- CPG experience is important, particularly working with large retailers like Walmart, Michaels, Joann’s etc.
- Manage material handling fleet (forklifts, pallet jackets, etc.) for all operations
- Bilingual with Spanish speaking a plus.

Pay: $108,000.00 - $120,000.00 per year
