Job Summary:

The DME Documentation Specialist is responsible for contacting physicians and their offices to follow up on outstanding documentation required to complete the DME order process. This includes collecting signed prescriptions, chart notes, face-to-face evaluations, and other compliance documents. The role ensures that all documentation meets Medicare/insurance guidelines for billing and audit purposes.

Key Responsibilities:

  • Contact physician offices via phone, fax, email, or EHR systems to request or follow up on required DME documentation.
  • Track and manage pending documentation using CRM or billing software.
  • Ensure all documents are accurate, complete, and compliant with insurance (especially Medicare) requirements.
  • Communicate with internal teams (sales, billing, compliance) regarding the status of documentation.
  • Escalate unresponsive providers or problematic documentation cases to the appropriate supervisor.
  • Maintain up-to-date knowledge of DME documentation standards, including face-to-face and CMN (Certificate of Medical Necessity) requirements.
  • Maintain detailed logs of communication with doctors’ offices.
  • Handle sensitive information in compliance with HIPAA regulations.

Requirements:

  • 1+ year of experience in DME, medical billing, or provider relations (preferred).
  • Strong communication and phone etiquette skills.
  • Organized, detail-oriented, and capable of handling multiple priorities.
  • Familiarity with Medicare and commercial insurance documentation requirements.
  • Proficient in Microsoft Office, EHRs, and CRM/billing software.

Job Type: Full-time

Pay: Rs20,000.00 - Rs40,000.00 per month
