Document Control Specialist

Overview
We are seeking a highly organized and detail-oriented Document Control Specialist to join our dynamic team. In this vital role, you will oversee the management, organization, and maintenance of all project and quality documentation to ensure compliance with industry standards and internal procedures. Your expertise will support our commitment to excellence by ensuring that all documents are accurate, accessible, and properly controlled across various departments. Position will also require data inputting into ERP programs, creating project work orders based on Purchase Order and Standards/Specifications, creating reports, packing slips and answering phones as needed.

Responsibilities

  • Develop, implement, and maintain document control procedures aligned with ISO 13485, ISO 9001, and other relevant quality management standards.
  • Manage electronic and paper-based document management systems, including SharePoint and ERP systems, ensuring all records are current, accurate, and properly stored.
  • Facilitate the filing, indexing, and retrieval of documents to support quality assurance, regulatory compliance, and audit readiness.
  • Perform data entry and data management tasks to update records accurately in various systems.
  • Proofread technical documents for clarity, accuracy, and consistency before approval or distribution.
  • Coordinate document review cycles, approvals, revisions, and distribution processes across teams.
  • Conduct regular audits of records management practices to ensure compliance with organizational policies and regulatory requirements.
  • Creating project Work Orders based on Purchase Orders, Standard and Specifications.
  • Creating reports and Packing Slips for trucking, accordingly.
  • Answering and directing calls, as needed.

Skills

  • Knowledge of ISO 9001 standards.
  • Proficiency in document management systems such as SharePoint and ERP platforms.
  • Excellent organizational skills with a keen eye for detail in filing, record keeping, and data entry.
  • Experience with document control procedures within regulated environments; familiarity with filing systems and records management practices.
  • Effective proofreading skills combined with technical writing abilities for creating clear documentation.
  • Ability to manage multiple tasks efficiently while maintaining accuracy under tight deadlines.
  • Prior administrative experience supporting quality or regulatory functions is highly desirable. Pay: $25.00 - $27.00 per hour
