Role Summary:
The Document Controller is responsible for managing and maintaining all project-related documents, including drawings, specifications, correspondence, and reports, ensuring accuracy, compliance, and secure handling. This role supports the engineering, procurement, and construction teams by providing timely access to updated documents and maintaining an organized document control system in accordance with the project and client requirements.
Job Duties & Responsibilities:

Establish, implement, and maintain the document control system in line with project standards and client requirements.

Receive, register, track, and distribute engineering documents, technical drawings, submittals, RFIs, contracts, and other related files.

Ensure document formatting and templates comply with company Quality Management System requirements.

Maintain updated records of all approved documents and drawings, ensuring version control and traceability.

Coordinate with engineering, procurement, and construction teams to ensure timely document submissions and approvals.

Control the issuance, retrieval, and archiving of both hard and soft copies of documentation.

Conduct regular audits to ensure integrity and compliance of document control procedures.

Provide training and support to project staff on document control systems and procedures.

Assist in preparing documentation for handover to the end user and for project close-out.

Work closely with contractors, subcontractors, and vendors to ensure document standards and procedures are adhered to.
Education & Experience:

Bachelor’s degree in business administration, Information Management, Engineering, or related field. (A diploma may be acceptable with strong relevant experience.)

5+ years of experience in document control, preferably within the construction or oil & gas / industrial plant sectors.

Experience working on large-scale plant construction projects is highly preferred.

Experience working with professional document control like Aconex, SAP DMS, KAROMI DMS etc.

Familiarity with Saudi Aramco, SABIC, or other major clients' documentation systems and standards is a plus.
Skills:

Proficient in Electronic Document Management Systems (EDMS) such as Aconex, SharePoint, Procore, SAP DMS, KAROMI DMS or similar.

Excellent command of MS Office (Excel, Word, Outlook, PowerPoint).

Strong understanding of document lifecycle, control processes, revision handling, and metadata management.
