Job Title: Document Controller

Department: Operation and Maintenance

Location: Abu Dhabi

Reports To: Operations Manager

Job Summary: The Document Controller is responsible for managing and maintaining all controlled documents within the Operation and Maintenance Department. This role ensures that all documents are accurate, up-to-date, and easily accessible to authorized personnel. The Document Controller will also ensure compliance with regulatory and company standards.

Key Responsibilities:

Document Management:

Manage the intake, handling, and storage of documentation.

Develop and implement processes for document control.

Ensure all documentation meets formal requirements and required standards.

Review and update documents as necessary.

Document Control:

Track and manage versions of documents.

Retrieve files as needed by company staff.

Securely backup and store documents.

Ensure proper organization and categorization of documents.

Compliance and Quality Control:

Ensure all documents are accurate, complete, and in compliance with standards.

Monitor regulatory activity to maintain compliance with records and document management laws.

Conduct regular audits to ensure document integrity and compliance.

Coordination and Communication:

Coordinate with project teams to ensure all documents are accounted for and in the appropriate location.

Keep other personnel updated on new document versions and how to obtain access.

Train employees on records management procedures and policies, including documentation, retention, retrieval, destruction, and disaster recovery.

Technical Support:

Use document management software to upload or scan paper documents.

Create templates for use by other personnel.

Assist with communication during external audits.

Qualifications:

Education: Bachelor's degree in Business Administration, Information Management, or a related field.

Experience: Minimum of 3 years of experience in document control or a similar role.

Skills:

Proficiency in document management software.

Excellent organizational skills and attention to detail.

Strong communication and interpersonal skills.

Ability to work independently and as part of a team.

Knowledge of regulatory requirements and standards for document control.

Working Conditions:

Office environment with occasional site visits.

May require extended hours during peak periods.

Job Type: Full-time

Pay: AED1,500.00 - AED2,000.00 per month
