Key Responsibilities:
- Establish and maintain an organized document control system for all project-related documentation, including drawings, specifications, contracts, and reports.
- Manage document workflows and ensure that documents are distributed to relevant stakeholders in a timely manner.
- Ensure the proper indexing, filing, storage, and retrieval of both digital and hard copy documents.
- Track and monitor document status, ensuring timely review, approval, and issuance.
- Perform regular audits to ensure document integrity, accuracy, and compliance with project and regulatory requirements.
- Coordinate with project teams, subcontractors, and consultants to ensure all documents are current and compliant.
- Maintain logs for incoming and outgoing documents and prepare periodic status reports for management.
- Ensure adherence to confidentiality protocols and data security measures for sensitive information.
- Assist in preparing project documentation for meetings, audits, and inspections.
- Provide support and training to project teams on document management procedures and software.
Document Controller Requirements
- Degree in business administration, record management or any related fields.
- Minimum of 5 years UAE experience in document management, archive management, or records management.
- Knowledge of document management systems like Sharepoint, etc.
- An excellent grasp of Microsoft Office programs.
- Top-class typing and report writing skills.
- Detail-focused document organizing abilities.
- Familiarity with the relevant regulations regarding document keeping and handling.
- Able to proactively manage database changes using software management systems.
- Time-oriented approach to handling queries and tasks.
