Document Controller

CORE TASKS-

o Support to Development Director and project team leads in daily operations.

o Establishing, monitoring and enforcing internal controls.

o Monitor/ track consultants’/contractors’ payments against contract agreements.

o Electronic document management systems.

o Manage daily documentation.

o Following-up on actions with consultants, contractors and colleagues.

Additional Skills:

  • Strong background in tenders and request for proposals (RFP) review, preparation and documentation including proof-reading and spot checking.
  • Monitors proposals content to ensure compliance to RFP requirements, evaluation criteria, and technical specifications.
  • Proposals review / comparison / evaluation.
  • Tracking of consultants’/contractors’ payments against contract agreements. Basic computing / accounting skills.
  • Strong background in administrative/secretarial tasks (managing calendars, arranging travels, etc.)

Basic Skills

Administers and organizes project construction documents and other development plans to ensure ease of traceability and availability at all times

Receives, issues, logs, and updates all project related documentation (Tender Documents, Statutory Docs, Drawings, Specs., Data Sheets, etc.)

Ensures proper distribution of all the incoming & outgoing correspondences.

Prepares memos & emails as per instructions of the managers//directors.

Performs miscellaneous administrative tasks that might be assigned from time to time

Coordinates all Document Control procedure & activities, including technical documents, drawings, commercial correspondences with the client, project management consultants, and contractor & subcontractors

Inputs document data into the project-based control registers, ensuring information is up-to-date and accurate

Generates various document control reports to monitor, track and report progress of submitted/reviewed documents

Arranges for project meetings and availability of meeting rooms as required & Manages electronic & hard copy filing of project technical documentation

Distributes all correspondences including client comments on received submittals, ensuring destination accuracy, to avoid action delays

Discerns proper redistribution destinations based on client comments (Ex.: Electrical / Architectural/etc.)

Ensures all electronic & hard copy distribution of controlled documents to focal points, while filing in designated folders

Files & archives documents to facilitate easy retrieval at a later date & Maintains and registers incoming & outgoing project documents & Types letters, memos, and quotations

Follows up on submitted quotes, and update the quotation monitoring system & Updates database on a daily basis.

Skill Set-

1. Years and Industry of experience: Minimum 10 years experience either with a Developer or a Main Contractor — preferably experience with both.

2. Education — preferably degree qualified with very strong IT skills.

3. Advanced skill/use of ACONEX, Asite, Other EDMS, E-portals, etc.

Job Type: Full-time

Pay: AED7,000.00 - AED9,000.00 per month
