Responsibilities:
- Implement and maintain document control processes and procedures to ensure proper management of documents throughout their lifecycle.
- Receive, review, and process incoming documents, ensuring they are accurately labeled, cataloged, and filed in the appropriate systems.
- Collaborate with various teams to ensure the timely and accurate distribution of documents to relevant stakeholders.
- Monitor and track document changes, revisions, approvals, and version control.
- Maintain electronic and physical document repositories, ensuring easy retrieval and accessibility for authorized personnel.
- Coordinate with external partners, clients, and vendors to ensure the efficient exchange of documents.
- Conduct regular audits to verify the accuracy and completeness of document records.
- Assist in the creation and maintenance of document templates and standardized formats.
- Provide training and support to team members on document management procedures and best practices.
- Implement and enforce data security and confidentiality protocols to protect sensitive information.
- Generate reports and provide insights on document control metrics and trends.
- Keep up-to-date with industry standards and regulations related to document management.
Qualifications:
- Bachelor's degree in a relevant field or equivalent experience.
- Proven experience as a Document Controller or in a similar role.
- Strong familiarity with document management software and tools.
- Exceptional attention to detail and organizational skills.
- Proficient in Microsoft Office suite, especially Excel, Word, and Outlook.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively in a team environment.
- Strong problem-solving skills and adaptability to changing requirements.
- High level of integrity and the ability to handle confidential information with discretion.
