About the Role:

We are seeking a detail-oriented and experienced Document Controller to join our team within a prestigious engineering consultancy firm. This role is site-based , supporting a construction project, and involves overseeing the management, organization, and control of project documentation in line with consultancy and project-specific procedures.

The ideal candidate will have prior experience working in a consultancy environment and demonstrate a strong understanding of construction documentation workflows, version control, and industry standards. This is a critical role ensuring that all project documents are up-to-date, accurate, and accessible to relevant stakeholders, thereby supporting efficient project delivery.

Key Responsibilities:

  • Maintain and manage all incoming and outgoing project documentation, ensuring correct filing, versioning, and distribution in accordance with internal and external procedures.
  • Set up and monitor document control systems and registers (both electronic and physical) to track project documentation.
  • Ensure all project documentation complies with quality assurance and project standards.
  • Liaise with engineering, design, and construction teams to ensure timely submission, review, and approval of documents.
  • Coordinate with consultants, contractors, and clients to manage document workflows and submittals.
  • Implement and enforce document control protocols to maintain confidentiality, security, and accessibility.
  • Support site-based teams with the retrieval, issuance, and logging of documents and drawings.
  • Maintain comprehensive logs for drawings, transmittals, RFIs, submittals, and correspondence.
  • Assist in audits and ensure readiness for internal and external quality reviews.
  • Provide training and support on document control systems and processes as required.

Qualifications:

  • Minimum of 5 years of experience in a document control role, preferably within an engineering consultancy or construction environment.
  • Prior experience working on-site on construction projects is strongly preferred.
  • Proficiency in Microsoft Office applications, particularly Excel and Outlook.
  • Strong organizational skills and attention to detail.
  • Ability to work independently in a fast-paced site environment.
  • Excellent communication and interpersonal skills.
  • Knowledge of ISO 9001 and document control best practices is an asset.
  • Diploma or certification in administration, document management, or a related field is desirable.
