Job Title: Document Controller – Construction

We are currently seeking a detail-oriented and highly organized Document Controller / Project Administrator to support our management team and ensure efficient document control, administration, and coordination with clients, contractors, and consultants.
Key Responsibilities:
- Provide administrative and project support to the Project Director, Project Managers, Engineers, and Team Leaders.
- Manage document control processes, including logging, registering, archiving, and tracking all project documentation.
- Prepare and forward business correspondence to clients, contractors, subcontractors, and vendors.
- Prepare document transmittals, cover sheets, and compile specification documents as required.
- Handle RFIs, material submittals, drawings, and correspondence in a structured project database system.
- Ensure all records are properly dated, signed, distributed, and filed according to company procedures.
- Maintain a user-friendly filing system (hard & soft copies) for efficient document retrieval and tracking.
- Support the project team in daily administrative tasks, including office operations and stationery supplies.
- Control, track, and issue all project documentation including RFIs, IRs, NCRs, site instructions, change orders, shop drawings, submittals, payment certificates, and variations.
- Maintain updated registers/logs of all documentation, including revisions, submissions, and delays.
- Coordinate with the Accounts Department for billing updates and payment-related documentation.
- Organize and participate in meetings, prepare agendas, and take minutes of meeting.
- Prepare and update weekly and monthly project status reports for management and clients.
- Liaise with banks, Dubai Authorities, and Government Agencies for project-related submissions.
- Provide administrative and communication support to ensure smooth project execution.
Qualifications & Skills:
- Bachelor’s Degree or Diploma in Business Administration, Engineering, or a related field.
- Proven experience as a Document Controller / Project Administrator in the construction industry (UAE experience preferred).
- Strong knowledge of document control processes, project documentation, and correspondence handling.
- Excellent organizational and multitasking skills with attention to detail.
- Proficiency in MS Office (Word, Excel, PowerPoint) and document control/project management systems.
- Strong communication and interpersonal skills for coordination with clients, consultants, and contractors.
- Ability to work under pressure and meet deadlines.
