Job Title: Document Controller – Construction

Location: Dubai, UAE

About Us:
We are a leading construction company dedicated to delivering excellence in every project. We are currently seeking a detail-oriented and highly organized Document Controller / Project Administrator to support our management team and ensure efficient document control, administration, and coordination with clients, contractors, and consultants.

Key Responsibilities:

  • Provide administrative and project support to the Project Director, Project Managers, Engineers, and Team Leaders.
  • Manage document control processes, including logging, registering, archiving, and tracking all project documentation.
  • Prepare and forward business correspondence to clients, contractors, subcontractors, and vendors.
  • Prepare document transmittals, cover sheets, and compile specification documents as required.
  • Handle RFIs, material submittals, drawings, and correspondence in a structured project database system.
  • Ensure all records are properly dated, signed, distributed, and filed according to company procedures.
  • Maintain a user-friendly filing system (hard & soft copies) for efficient document retrieval and tracking.
  • Support the project team in daily administrative tasks, including office operations and stationery supplies.
  • Control, track, and issue all project documentation including RFIs, IRs, NCRs, site instructions, change orders, shop drawings, submittals, payment certificates, and variations.
  • Maintain updated registers/logs of all documentation, including revisions, submissions, and delays.
  • Coordinate with the Accounts Department for billing updates and payment-related documentation.
  • Organize and participate in meetings, prepare agendas, and take minutes of meeting.
  • Prepare and update weekly and monthly project status reports for management and clients.
  • Liaise with banks, Dubai Authorities, and Government Agencies for project-related submissions.
  • Provide administrative and communication support to ensure smooth project execution.

Qualifications & Skills:

  • Bachelor’s Degree or Diploma in Business Administration, Engineering, or a related field.
  • Proven experience as a Document Controller / Project Administrator in the construction industry (UAE experience preferred).
  • Strong knowledge of document control processes, project documentation, and correspondence handling.
  • Excellent organizational and multitasking skills with attention to detail.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and document control/project management systems.
  • Strong communication and interpersonal skills for coordination with clients, consultants, and contractors.
  • Ability to work under pressure and meet deadlines.
