Key Responsibilities:

  • Document Management & Control
  • Maintain a systematic filing system for all incoming and outgoing correspondence, transmittals, drawings, submittals, and other project-related documents.
  • Ensure all documentation is properly recorded, logged, and tracked using the approved document control database or Excel registers.
  • Maintain confidentiality and ensure controlled access to sensitive documentation.
  • Prepare and issue document transmittals to clients, consultants, and subcontractors as per the project communication protocol.
  • Document Preparation & Formatting
  • Prepare and format project-related documents, reports, letters, and presentations using Microsoft Office tools (Word, Excel, PowerPoint, etc.).
  • Review and ensure documents comply with company standards and client requirements before submission.
  • Coordinate with engineers and project managers to prepare required documents in a timely manner.
  • Filing, Printing & Distribution
  • Organize hard copy files, print materials, and maintain physical archives for all approved and official project documents.
  • Ensure all incoming and outgoing documents are properly scanned and digitally archived.
  • Distribute documents to relevant personnel and ensure acknowledgement of receipt where required.
  • Coordination & Communication
  • Coordinate with Project Managers, Engineers, and other departments to ensure adherence to the document control procedures.
  • Provide administrative support in project-related communication and correspondence.
  • Record and prepare Minutes of Meetings (MOMs) accurately and circulate them to all concerned parties.
  • Follow up on pending document submissions and approvals.
  • Reporting & Compliance
  • Generate regular reports on document status, pending approvals, and submission logs.
  • Support in preparation of the Project Procedure Manual and ensure document control processes are aligned with company policies.
  • Ensure the document control system is implemented and maintained effectively throughout the project lifecycle.

Skills & Competencies:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and communication skills.
  • Attention to detail and accuracy in record keeping.
  • Ability to handle confidential information with discretion.
  • Familiarity with document management systems (DMS) and project filing standards is an advantage.

Job Type: Full-time

Pay: ﷼5,000.00 - ﷼6,000.00 per month
