Job Title: Document Controller – Building Construction Project

Position Summary
We are seeking a highly organized and detail-oriented Document Controller to manage all project documentation for a building construction project in Ras Al Khaimah, UAE. The ideal candidate will have UAE construction experience, strong document management skills, and the ability to maintain accurate, up-to-date, and compliant records throughout the project lifecycle.
Key Responsibilities
Document Management & Control:
- Establish and maintain a comprehensive document control system for technical and administrative project documentation according to UAE construction standards and ISO 9001 procedures.
- Maintain records of drawings, submittals, shop drawings, material approvals (MARs), RFIs, NCRs, method statements, ITPs, correspondence, and inspection reports.
- Ensure document numbering, coding, version control, and traceability are strictly followed.
- Manage electronic and hard-copy filing systems and upload documents to platforms such as Aconex, Autodesk Construction Cloud, SharePoint, or Unifier.
Drawings and Submittals:
- Log, review, and distribute all architectural, structural, MEP, and shop drawings to relevant teams.
- Track submittal approvals from consultants, clients, and authorities and ensure timely responses.
- Compile and maintain as-built drawings and project closeout documentation.
Correspondence and Communication:
- Register and track all incoming/outgoing correspondence, letters, memos, and emails.
- Liaise with Project Manager, Site Engineers, QA/QC, Planning, Procurement, and Commercial teams for proper document flow.
- Ensure all communications are properly logged and accessible for future reference.
Quality & Compliance:
- Support QA/QC documentation for inspections, material testing, and quality reports.
- Maintain records of inspection requests (IRs), non-conformance reports (NCRs), and approvals.
- Ensure compliance with UAE Civil Defense, Municipality, and Authority documentation standards.
- Prepare and maintain document transmittal logs, revision logs, and approval status reports.
Site & Construction Support:
- Provide the site team with the latest approved drawings and documents.
- Track drawing revisions and notify engineers of superseded versions to prevent rework.
- Assist in preparing documents for progress meetings, authority submissions, and consultant coordination meetings.
- Support the compilation of handover documentation, including O&M manuals, as-built drawings, and completion certificates.
Archiving & Records Management:
- Implement systematic electronic and hard-copy filing systems for easy retrieval and traceability.
- Archive obsolete documents according to company policy and UAE regulations.
- Ensure confidentiality and security of sensitive project documents.
Reporting & Administration:
- Generate regular reports such as:
- Submittal Status Report
- Drawing Revision Report
- RFI Tracking Sheet
- Material Approval Status Report
- Document Distribution Logs
- Support audits and monthly progress documentation required by clients and consultants.
- Assist Project Controls with document-related data for progress claims and reporting.
Qualifications & Experience
- Bachelor’s degree or diploma in Engineering, Business Administration, or related field.
- 3–7 years of experience as a Document Controller in the UAE construction industry, preferably in building projects.
- Hands-on experience with Aconex, Unifier, SharePoint, or Autodesk Construction Cloud.
- Familiarity with UAE regulatory authorities (RAK Municipality, Civil Defense, FEWA, MOID) and document submission procedures.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and Adobe Acrobat Professional.
- Excellent English communication skills; Arabic proficiency is an advantage.
- Strong organizational, multitasking, and coordination abilities.
- Knowledge of ISO 9001:2015 documentation standards and procedures.
- Ability to work under pressure and meet strict UAE project deadlines.
Preferred Skills
- Experience with FIDIC contracts or EPC projects in the UAE.
- Knowledge of HSE documentation and reporting requirements.
- Ability to train junior document control staff and standardize documentation procedures across teams.
- Detail-oriented, proactive, and capable of maintaining high-quality records.
Salary & Benefits
- Salary: AED 5,000 – 7,500 per month (based on experience).
- Benefits: UAE employment visa, medical insurance, annual leave, end-of-service gratuity, and transport or accommodation allowance.
- Working Hours: 8 hours/day, 6 days/week (typical construction site schedule).
