Establish and maintain an efficient document control system for all FM-related documents (e.g., maintenance reports, permits, vendor contracts, drawings, asset registers, and manuals).
Ensure version control, document numbering, and standardized filing procedures for both digital and hard-copy records.
Track incoming and outgoing correspondence, drawings, RFIs, submittals, and approvals.
Maintain up-to-date documentation for statutory compliance — such as fire safety certificates, equipment inspection reports, and environmental permits.
Support project teams in managing as-built drawings, O&M (Operation & Maintenance) manuals, and handover documentation.
Coordinate with engineering, procurement, and operations teams to ensure timely document submission and retrieval.
Prepare document transmittals and maintain a log of all distributed and received files.
Support internal and external audits by ensuring easy retrieval of required documents.
Implement document management software and ensure all users follow established protocols.
Protect confidential information and ensure data integrity in line with organizational policies.
Train and assist team members in using the document management system effectively.
