Job Summary
The Document Controller is responsible for managing, controlling, and maintaining all company and project-related documents in an organized and efficient manner. The role ensures proper document flow, version control, confidentiality, and compliance with company and client requirements.
Key Responsibilities
- Maintain and manage all incoming and outgoing documents (hard copy and electronic).
- Ensure proper document numbering, filing, storage, and retrieval systems are followed.
- Control document versions, revisions, and approvals to avoid duplication or errors.
- Coordinate with internal departments, clients, consultants, and contractors for document submissions.
- Maintain logs/registers for drawings, letters, reports, and approvals.
- Ensure documents are submitted within agreed timelines and follow project procedures.
- Archive completed project documents as per company policy.
- Ensure confidentiality and security of sensitive documents.
- Support audits by providing required documentation when requested.
- Assist project and operations teams with document-related tasks as needed.
Qualifications
- Bachelor’s Degree or Diploma in Business Administration or a related field (preferred).
- Certification in Document Control or Records Management is an advantage.
Experience
- Minimum 2–4 years of experience as a Document Controller in UAE.
- Experience in facilities management, construction, security services, or outsourcing companies is preferred.
- Familiarity with client and consultant documentation processes.
Skills & Competencies
- Strong organizational and document management skills.
- Proficient in MS Office (Word, Excel, Outlook).
- Experience with document control systems or EDMS is an advantage.
- Good written and verbal communication skills.
- Attention to detail and ability to work under deadlines.
- Ability to coordinate with multiple stakeholders.
- Knowledge of ISO documentation standards (preferred).
