The Document Controller will be responsible for managing and maintaining all company documentation, ensuring accuracy, confidentiality, and accessibility. You will be a key player in ensuring that documentation is properly stored, tracked, and easily retrievable for employees and stakeholders.
Key Responsibilities:
- Document Management: Organize, store, and maintain all company documents (digital and hard copies) in accordance with internal policies and procedures.
- Version Control: Ensure that all documents are properly version-controlled, and outdated versions are archived or disposed of according to company standards.
- File Organization: Create and maintain a structured filing system, making sure that files are easy to locate, retrieve, and reference.
- Document Distribution: Distribute documents to the appropriate team members and ensure they receive the necessary files and updates in a timely manner.
- Compliance: Ensure that all documentation meets legal, regulatory, and company standards and protocols.
- Audit & Reporting: Conduct regular audits of documents to ensure accuracy and completeness. Prepare reports as needed.
- Collaboration: Work closely with different departments to assist with document requests and ensure smooth workflows.
- Confidentiality: Maintain the confidentiality and security of sensitive company information.
- Document Preparation: Assist in the preparation and formatting of documents for approval or publication.
- Software Use: Manage and update digital files and records using company-specific software (e.g., SharePoint, Document Management Systems).
Qualifications:
- Associate degree or bachelor's degree in business administration, Information Management, or related field (preferred).
- Proven experience as a Document Controller, Records Manager, or similar role.
- Familiarity with document management systems (DMS) and/or enterprise resource planning (ERP) software.
- Strong organizational skills and attention to detail.
- Ability to work independently and collaboratively in a team environment.
- Excellent written and verbal communication skills.
- Knowledge of regulatory compliance and document retention requirements (industry-specific, if applicable).
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Ability to prioritize and manage multiple tasks effectively.
