Job Description: -
· Establish and maintain a centralized electronic and hard-copy document control system.
· Register, log, track, and distribute incoming and outgoing documents, drawings, and correspondence.
· Ensure proper document classification, revision control, and archiving in accordance with company procedures.
· Maintain updated document registers, drawing logs, RFI logs, and submittal trackers.
· Ensure only the latest approved revisions are available on site and obsolete documents are removed from circulation.
2. Submittal & Technical Coordination
· Coordinate and monitor the submission of technical submittals, RFIs, method statements, and related documentation between the Project Engineer, client/consultant, and subcontractors.
· Follow up on pending approvals and ensure timely responses.
· Assist in compiling final handover documentation and project close-out dossiers.
3. HR & Administrative Liaison
· Act as the primary liaison between site-based employees and the HR & Administration department.
· Facilitate communication, document processing, and employee-related administrative matters.
4. Quality & Compliance
· Ensure all project documentation complies with the Project Quality Plan (PQP), company procedures, and applicable statutory and regulatory requirements.
· Support internal and external audits by providing accurate and traceable documentation records.
5. Reporting & Project Support
· Assist the Project Manager in preparing periodic progress reports, document summaries, and cost control documentation.
· Maintain accurate records to support project monitoring and performance tracking.
6. QHSE Documentation Support
· Maintain and update records related to risk assessments, environmental aspects/impacts, permits, and operational control measures.
· Support worker consultation and participation processes by maintaining documentation related to hazard identification and risk reporting.
· Ensure proper filing of safety, environmental, and compliance-related documentation.
7. Site & External Coordination
· Manage daily documentation interfaces with clients, subcontractors, suppliers, and local authorities.
· Coordinate and record communications related to project, environmental, and regulatory requirements.
