Job Summary:


A document controller is a practical position in carrying out work related to the control, preservation, documentation, classification, retention and ease of reference to documents upon request and need.


Responsibilities are not limited to:


  • Receiving and reviewing all outgoing and incoming technical and administrative documents.
  • Ensuring the use of approved forms and templates and applying the unified document coding system.
  • Entering data into the Electronic Document Management System (DMS) and ensuring its accuracy and completeness.
  • Verify the completion of approvals and signatures before distributing the documents.
  • Coordinate with engineering teams to ensure that the documents comply with the required technical specifications.
  • Issue review or update notifications whenever any modifications are made to the documents.
  • Distributing approved documents to relevant parties internally and externally.
  • Managing the flow of documents between contractors, consultants, and internal departments.
  • Ensuring that all parties work with the latest approved versions of the documents.
  • Archiving all documents electronically and on paper in accordance with institutional policies.
  • Updating records and document databases.
  • Contributing to the preparation of periodic reports on the status of documents and the final copies (As-built).
  • Propose solutions to improve the efficiency of the document management system.
  • Participate in training workshops to raise awareness about the importance of document control.
  • Support the implementation of digital transformation in the company's document management.
  • Perform any other tasks assigned to him by the line manager within the scope of work.


Qualifications:


  • Bachelor's degree in Business Administration, Information Systems, or Engineering.
  • 3 to 5 years of experience in document management within an engineering or real estate development project environment.
  • Experience in using Document Management Systems (DMS) such as Aconex, SharePoint, or Primavera.
