Key Responsibilities1. Strategic Leadership

  • Develop and implement a future-ready document control and archiving strategy aligned with organizational growth plans.
  • Establish scalable systems to support multi-project and multi-location expansion.
  • Drive continuous improvement initiatives in document lifecycle management.

2. Policy Development & Governance

  • Design and enforce best-in-class archiving policies, procedures, and standards.
  • Ensure compliance with legal, regulatory, and industry requirements.
  • Introduce governance frameworks for document retention, classification, and disposal.

3. Digital Transformation

  • Lead the implementation or upgrade of Document Management Systems (DMS) and digital archiving tools.
  • Automate workflows for document control, retrieval, and approval processes.
  • Ensure data integrity, security, and accessibility across all departments.

4. Operational Excellence

  • Oversee document control operations for projects, contracts, and corporate records.
  • Ensure accurate version control, traceability, and audit readiness.
  • Optimize storage systems (physical & digital) for efficiency and cost-effectiveness.

5. Stakeholder Management

  • Partner with project teams, engineering, legal, HR, and management to ensure seamless document flow.
  • Act as a subject matter expert on document control practices across the organization.

6. Team Leadership

  • Build, lead, and develop a high-performing document control team.
  • Set KPIs, monitor performance, and ensure capability development.

Key Requirements Education

  • Bachelor’s Degree in Engineering, Information Management, Business Administration, or related field.
  • Certification in Document Control / Records Management is a strong advantage.

Experience

  • 10+ years of experience in document control, records management, or archiving, preferably in construction, precast, or industrial environments.
  • Proven track record in setting up or transforming archiving systems in growing organizations.
  • Experience in large-scale projects or multi-entity operations is highly preferred.

Technical Competencies

  • Expertise in Document Management Systems (e.g., Aconex, SharePoint, EDMS).
  • Strong understanding of ISO standards and compliance frameworks.
  • Knowledge of digital transformation and automation tools.

  • High attention to detail with a governance mindset.
  • Strong leadership and stakeholder management skills.
