Document Controller Officer

The Document Controller Officer is responsible for the governance, control, and integrity of all Facilities Management (FM) documentation at Red Sea International Airport. The role ensures FM documents are accurate, current, traceable, and fully compliant with ISO 55001 (Asset Management), ISO 50001 (Energy Management), and RSI governance requirements.

This position plays a critical role in supporting safe airport operations, asset lifecycle management, energy performance monitoring, audits, and regulatory compliance.


Key Responsibilities:


Document Control & Governance

  • Establish and maintain FM document control frameworks aligned with ISO and RSI governance.
  • Control document creation, review, approval, revision, distribution, and archiving.
  • Maintain document registers, revision histories, and audit trails.
  • Ensure only approved and current documentation is available for operational use.


Asset Management (ISO 55001)

  • Control documentation supporting the Asset Management System, including policies, plans, and asset registers.
  • Ensure asset documentation aligns with Maximo structures and lifecycle requirements.
  • Maintain asset hierarchies, PM strategies, and risk/criticality records.
  • Support ISO 55001 audits, assessments, and compliance reporting.


Energy Management (ISO 50001)

  • Maintain documentation for the Energy Management System, including policies, objectives, and EnPIs.
  • Control energy baselines, monitoring plans, and performance reports.
  • Maintain records for ISO 50001 audits and management reviews.
  • Support continual improvement through accurate energy data and documentation.


Systems & Platforms Management

  • Manage FM documentation across Aconex, Maximo, SharePoint, and FM repositories.
  • Ensure consistency and data integrity between all document systems.
  • Support metadata tagging, version control, and document linking.
  • Assist in system audits and documentation performance reviews.


Technical & Operational Documentation

  • Control O&M manuals, as‑built drawings, datasheets, and specifications.
  • Manage commissioning, testing, certification, and statutory inspection records.
  • Maintain SOPs, work instructions, and method statements.
  • Ensure documentation supports live airport operations and emergency response.


Contractor & Stakeholder Coordination

  • Act as the primary FM document control focal point with contractors and consultants.
  • Enforce contractual documentation and handover requirements.
  • Track submissions, reviews, comments, and close‑out actions.
  • Ensure documentation aligns with ISO, regulatory, and FM standards.


Compliance, Audit & Reporting

  • Support internal, external, and regulatory audits (ISO, GACA, client).
  • Ensure full documentation traceability and audit readiness.
  • Prepare document control reports, trackers, and dashboards.
  • Maintain records of non‑conformances and corrective actions.


Requirements:

  • Saudi National
  • Diploma or Bachelor’s degree in Engineering, Facilities Management, Asset/Information Management, or related field
  • 3–5 years’ experience in document control within airports, large infrastructure, or FM environments
  • Experience with document management systems and CMMS (Maximo preferred)
  • Exposure to ISO 55001 and/or ISO 50001
  • Strong attention to detail, organization, and stakeholder coordination skills
  • Proficient in MS Office and SharePoint
  • Able to work in a fast‑paced, high‑compliance environment.
