Document Controller / Project Secretary

Job Summary
We are looking for a highly organized and detail-oriented Document Controller / Project Secretary to join our team immediately. The ideal candidate will have proven experience in a construction environment, with strong expertise in managing project documentation and providing administrative and coordination support to both site and office teams.

Key Responsibilities

  • Manage, organize, and maintain all project documentation, including drawings, contracts, reports, and submittals
  • Ensure all document control procedures comply with company standards and project requirements
  • Track document versions, revisions, approvals, and maintain accurate logs
  • Coordinate with engineers, consultants, and subcontractors for timely submission and approval of documents
  • Prepare reports, official correspondence, and meeting minutes
  • Maintain efficient filing systems (both electronic and hard copy)
  • Provide administrative support to project managers and site teams
  • Ensure timely distribution of documents to all relevant stakeholders
  • Handle incoming and outgoing correspondence efficiently

Requirements

  • Proven experience as a Document Controller in a construction company (mandatory)
  • Minimum 2 years of relevant experience (2–5 years preferred)
  • Immediate availability is required
  • Strong understanding of document control systems and procedures
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to work under pressure and meet tight deadlines
