Job Summary
We are looking for a highly organized and detail-oriented Document Controller / Project Secretary to join our team immediately. The ideal candidate will have proven experience in a construction environment, with strong expertise in managing project documentation and providing administrative and coordination support to both site and office teams.
Key Responsibilities
- Manage, organize, and maintain all project documentation, including drawings, contracts, reports, and submittals
- Ensure all document control procedures comply with company standards and project requirements
- Track document versions, revisions, approvals, and maintain accurate logs
- Coordinate with engineers, consultants, and subcontractors for timely submission and approval of documents
- Prepare reports, official correspondence, and meeting minutes
- Maintain efficient filing systems (both electronic and hard copy)
- Provide administrative support to project managers and site teams
- Ensure timely distribution of documents to all relevant stakeholders
- Handle incoming and outgoing correspondence efficiently
Requirements
- Proven experience as a Document Controller in a construction company (mandatory)
- Minimum 2 years of relevant experience (2–5 years preferred)
- Immediate availability is required
- Strong understanding of document control systems and procedures
- Proficiency in MS Office (Word, Excel, Outlook)
- Excellent organizational and time-management skills
- Strong written and verbal communication skills
- Ability to work under pressure and meet tight deadlines
