Job Overview

Gilani Mobility is looking for a Document Controller & Systems Administrator to manage company documentation and support internal systems and workflows. This role focuses on document control, system coordination, and internal platform support.
This position does not involve website development.

A technical or systems background is an advantage, as the role supports internal tools, databases, and digital processes.

Key Responsibilities

Document Control

  • Manage and maintain company documents (HR files, contracts, invoices, reports, and policies)
  • Ensure proper version control and structured filing systems
  • Maintain confidentiality, accuracy, and compliance with company standards
  • Prepare, update, and archive internal records
  • Support audits and management reporting requirements

System & Administrative Support

  • Assist in managing internal systems, platforms, and databases
  • Ensure accurate data entry, access control, and record maintenance
  • Provide basic system support to internal users
  • Support process improvements and digital workflow coordination
  • Ensure smooth information flow between departments

System Coordination

  • Understand internal system workflows, permissions, and data handling
  • Assist with system testing, updates, and documentation
  • Coordinate with external IT or system service providers when required

Requirements

  • Experience as a Document Controller, Systems Administrator, or administrative role with system exposure
  • General understanding of system workflows, databases, and access control
  • Proficiency in Google Workspace and/or Microsoft 365
  • Strong organizational and documentation skills
  • Ability to work independently and manage multiple tasks

Preferred Qualifications (Advantage)

  • Technical or systems background (e.g., internal systems, software platforms, IT support)
  • Familiarity with ERP, CRM, or other business systems
  • Experience handling HR, operations, or accounts documentation
  • Previous work experience in the UAE
