Role Overview:
Documentation & Communications Program Manager
We are seeking a highly organized and strategic professional to lead documentation infrastructure and communications initiatives across our team. This role is responsible for designing and maintaining scalable systems that support knowledge management, internal and external communications, and executive-level engagements.
Key Responsibilities
Document Repository Management
- Oversee the creation and maintenance of centralized document repositories
- Evaluate and implement appropriate tools to support team workflows
- Develop and enforce best practices for file organization, naming conventions, and folder hierarchies
- Conduct regular audits of shared drives (e.g., Google Drive) to identify outdated content
- Establish and manage archival processes to ensure long-term accessibility and relevance
Knowledge Platforms & Web Presence
- Design, build, and maintain internal G-sites, wikis, and webpages
- Identify key documentation and stakeholders to ensure content accuracy and ownership
- Coordinate symposiums and internal events, including logistics, speaker preparation, and content development
- Provide presentation and speech support, including scripting and research
Team Communication Strategy
- Develop and implement a unified naming convention across team assets
- Create and manage communication plans for internal and external audiences
- Support crisis communication efforts and recurring updates (e.g., newsletters, strategy briefs, research communications)
- Structure and enhance executive review documents and other high-visibility materials
Demo & Executive Engagement Support
- Design and deploy communications for demos involving VPs, VIPs, and senior leadership
- Train and support researchers to ensure consistent messaging and presentation standards
- Create standardized communication templates for demos, announcements, and internal updates
Cross-Team Collaboration & Leadership Support
- Facilitate streamlined communication between leadership and cross-functional teams
- Develop content and processes that enhance transparency, alignment, and operational efficiency
Location: Redmond, WA (Onsite/Hybrid)
Role type: Contract 12 Month Position
Expected hours: 40 per week
