Documentation & Customer Coordination Manager – Export & Import Division

We are seeking a highly experienced and detail-oriented professional with over 7 years of experience in export-import operations and international trade documentation.

The selected candidate will be responsible for managing end-to-end export documentation processes, ensuring full compliance with international trade regulations, and serving as the key coordination point between customers, logistics partners, customs agents, and internal sales teams. This role requires strong operational control, accuracy, and the ability to manage multiple international shipments efficiently.

Key Responsibilities

1. Documentation & Trade Compliance

  • Prepare, review, and verify export documentation including:
  • Commercial Invoice
  • Packing List
  • Certificate of Origin (COO)
  • Bill of Lading (B/L)
  • Ensure compliance with UAE customs regulations and international trade requirements.
  • Coordinate with freight forwarders, shipping lines, and customs clearing agents for timely dispatch.
  • Monitor documentation accuracy to avoid shipment delays or penalties.
  • Handle document amendments, legalization, and special compliance requirements when necessary.

2. Customer Coordination

  • Act as the primary point of contact for international clients.
  • Provide regular updates on order status, shipment schedules, and delivery timelines.
  • Ensure complete documentation is shared with customers prior to dispatch.
  • Manage post-shipment communication and resolve documentation-related queries.

3. Order Lifecycle Management

  • Track orders from quotation stage to final delivery.
  • Ensure alignment between sales commitments and logistics execution.
  • Verify cargo readiness, documentation accuracy, and shipment bookings.
  • Coordinate internally with Sales, Operations, and Accounts departments.

4. Internal Coordination & System Management

  • Support the Sales Team with accurate shipment updates.
  • Maintain detailed records within CRM/ERP systems.
  • Ensure systematic documentation filing and tracking.

5. Reporting & Monitoring

  • Maintain daily shipment trackers.
  • Submit weekly operational status reports to management.
  • Identify process gaps and recommend improvements where necessary.

Required Qualifications & Experience

  • Minimum 7+ years of experience in Export & Import Documentation or International Trade Operations.
  • Strong knowledge of:
  • UAE customs procedures
  • International trade compliance
  • Incoterms
  • Freight and shipping documentation
  • Experience handling international customers and global logistics coordination.
  • High attention to detail and strong organizational skills.
  • Proficiency in MS Office and CRM/ERP systems.
  • Experience in heavy equipment, industrial trading, or machinery industry is preferred.
