Position Summary: Under general supervision of the department manager, the EHR System Analyst – Trainer serves as a hybrid role combining EHR support expertise with a primary focus on training, education, and workflow adoption. This position plays a key role in ensuring training is ongoing and not only functions correctly, but is being used effectively, consistently, and safely across clinical and operational teams. The ESA Trainer partners closely with the OCHIN vendor, clinical leadership, and operational stakeholders to deliver role-based training, workflow coaching, and change readiness, translating system functionality into real-world performance and measurable outcomes. This role supports optimization efforts by identifying training gaps, workflow inconsistencies, and opportunities to improve user competency and confidence. This job class is treated as FLSA Exempt.

1. Epic Training & Education (Primary Focus)

Design, develop, and deliver Epic training programs for new hires, role changes, system upgrades, and optimization initiatives.

Facilitate instructor-led, virtual, and hands-on training sessions tailored to clinical and operational roles.

Develop and maintain training curricula, lesson plans, job aids, tip sheets, quick reference guides, and eLearning content.

Serve as a workflow coach, reinforcing best practices and standardization across departments.

Assess training effectiveness using feedback, competency checks, and performance metrics; refine content accordingly.

Provide ongoing Epic support, refresher training, and optimization education

ESA Program Participation & Support-
Support the development and ongoing operations of the EHR Support Analyst (ESA) program, with emphasis on training integration.

Coordinate training-related ESA activities aligned with customer satisfaction, safety, quality, and staff performance goals.

Take ownership of training-focused workstreams or initiatives within the ESA program.

Support & Coaching-
Provide advanced first-line support to end-users (providers, nurses, administrative staff).

Resolve login, access, workflow, and mid-level Epic issues; escalate critical or complex problems appropriately.

Mentor and coach peers and junior ESA staff support best practices and issue resolution.

Serve as a knowledgeable resource for staff and patients on system workflows and healthcare processes.

Issue Resolution & Problem Solving-
Identify, analyze, and resolve mid-to-complex technical and workflow issues with an emphasis on creative, patient-centered solutions.

Collaborate with vendors, IT, or governance groups to ensure minimal disruption to clinical care.
5.
Documentation, Training & Knowledge Sharing-
Create, maintain, and standardize Epic training documentation and workflow guides.

Contribute to a centralized knowledge repository to support self-service learning and consistent messaging.

Ensure training materials align with current build, workflows, and regulatory requirements.
6.
System Configuration & Optimization-
Partner with analysts, builders, and operational leaders to ensure training aligns with system changes, optimizations, and upgrades.

Translate technical changes into clear, role-based education and communication.

Participate in optimization initiatives by identifying training-driven solutions to workflow or performance challenges.
7.
Testing, QA & Change Requests-
Participate in User Acceptance Testing (UAT) with a focus on training impact and end-user readiness.

Validate that workflows function as trained following upgrades and releases.

Adjust training materials proactively based on testing outcomes and user feedback.
8.
Compliance & Security-
Reinforce HIPAA, security, and access standards through training and workflow education.

Support audit readiness by ensuring users understand appropriate system usage and documentation standards.

Collaboration & Communication-
Work closely with IT, OCHIN, clinical leadership, and operations to align training with organizational priorities.

Communicate clearly and confidently with stakeholders at all levels, from front-line staff to leadership.

Escalate risks, gaps, or adoption concerns with clarity and solutions.
10.
Continuous Improvement & Strategic Awareness-
Stay current on Epic functionality, healthcare trends, and adult learning best practices.

Proactively identify training opportunities that improve efficiency, safety, and patient experience.

Support organizational change initiatives by acting as a training and adoption champion.
Knowledge, Skills, Abilities, and Other Characteristics:-
Knowledge of the history, culture, laws, rules, customs and traditions of the SRPMIC.

Knowledge of the purpose, current issues, projects, organization, policies, and employee responsibilities of the division to which assigned.

Strong Epic knowledge (preferably OCHIN), with proficiency across multiple modules.

Knowledge of healthcare operations, compliance (HIPAA), FQHC environments, and industry metrics.

Experience applying adult learning principles in a healthcare or technical training environment.

Excellent facilitation, communication, and presentation skills.

Ability to translate complex system concepts into clear, role-based learning.

Strong organizational skills with the ability to manage multiple training initiatives simultaneously.

Demonstrated empathy, adaptability, and collaborative approach.

Proficient in Microsoft Office, Teams, SharePoint, Epic training tools, and learning platforms.
Education & Experience: A Bachelor’s degree in Healthcare Administration, Healthcare Technology, Healthcare Informatics or closely related discipline, equivalent professional experience considered.

Minimum of 5 years of full-time work experience within a clinical facility

Must have minimum of 3 years of support experience with Epic EHR Software

Strong preference for active EPIC Certifications/Proficiencies in Ambulatory, Acute, EpicCare, Willow, Wisdom, Prelude, Cadence, Resolute PB, or closely related modules.

You will be expected to work a rotating on-call shift and may be required to work nights and weekends depending on project requirements.
