Job Summary

The Student Information System (SIS) Secretary is responsible for accurate collection, maintenance, verification, and reporting of all student data for the school district. This position plays a critical role in district funding, accountability, and compliance, as student enrollment, attendance, special education, and graduation data directly impact funding calculations under the Tennessee Investment in Student Achievement (TISA) formula. The SIS Secretary ensures that all required Tennessee Department of Education (TDOE) reports are completed accurately, submitted on time, and aligned with state laws, rules, and accountability manuals.


Main Duties and Responsibilities

Student Data ManagementAccuracy

  • Maintain accurate, up-to-date student demographic, enrollment, attendance, withdrawal, promotion/retention, and graduation records within the district's Student Information System.
  • Ensure data integrity through regular audits, validations, and reconciliation of school-level and district-level records.
  • Monitor enrollment codes, attendance codes, and withdrawal codes to ensure compliance with TDOE Attendance Accounting and Student Membership manuals.
  • Serve as the district authority on student data definitions, business rules, and reporting timelines.

State ReportingAccountability

  • Prepare, review, certify, and submit all required TDOE student membership, attendance, and accountability reports, including but not limited to:
    • Base ADM
    • SPED ADM
    • Characteristics of Dyslexia
    • Economically Disadvantaged
    • CTE
    • English Language Learners
    • Federal Reporting - CRDC
    • Maintain State SSO Accounts for the district
  • Verify that all data submitted to the state accurately reflects district records and complies with TDOE reporting requirements as outlined in state documentation.
  • Ensure data submitted for funding purposes is accurate, timely, and fully supported by documentation.

FundingCompliance (TISA Impact)

  • Collaborate with district leadership to ensure student data directly impacting TISA funding allocations is accurate and defensible.
  • Identify and resolve discrepancies that could negatively affect district funding, audits, or accountability determinations.
  • Maintain documentation and records required for state audits and monitoring.

CollaborationTraining

  • Provide training and ongoing support to school administrators, secretaries, and attendance personnel on SIS procedures, coding accuracy, and reporting timelines.
  • Serve as a liaison between schools, district leadership, and the Tennessee Department of Education regarding student data and reporting issues.
  • Respond to data requests from district and school departments, auditors, and state agencies.

ConfidentialityData Security

  • Maintain strict confidentiality of student and staff data in compliance with FERPA, state laws, and district policies.
  • Ensure secure handling, storage, and transmission of sensitive data.

Minimum Education and Experience

  • High school diploma or higher
  • Preferred Qualifications
    • Experience working with a Student Information System in a K-12 public school setting.
    • Demonstrated knowledge of student enrollment, attendance, and accountability reporting.
    • Strong attention to detail with a proven ability to maintain highly accurate data.
    • Ability to interpret and apply state and federal reporting requirements.
    • Advanced proficiency in spreadsheets, data analysis, and reporting tools.
    • Prior experience preparing data for state audits or accountability reviews.
