Job Title: Email & Communication Coordinator
Department: Operations / Administration
Key Responsibilities:
- Manage and monitor the company’s official email inbox on a daily basis.
- Respond to customer, supplier, and internal queries in a professional and timely manner.
- Draft, proofread, and send emails related to quotations, inquiries, follow-ups, shipment updates, and operational requests.
- Coordinate with relevant departments to gather accurate information before replying to clients.
- Maintain proper email records for communication, approvals, and documentation.
- Forward important emails to management and ensure urgent matters are escalated immediately.
- Prepare standard email templates for operational communication.
- Ensure all email communication follows company standards, tone, and professionalism.
- Track pending emails and follow up on unresolved matters.
- Assist in preparing reports or communication summaries when requested.
Skills & Qualifications:
- Strong written communication skills.
- Good command of English for drafting professional emails.
- Knowledge of marine services or shipping operations (preferred).
- Ability to manage multiple email threads efficiently.
- Attention to detail and good organizational skills.
- Basic computer literacy: Outlook/Gmail, MS Office.
