Engineering/Environmental Assistant Admin - Columbus, NESummary:
The Office Assistant provides general administrative and clerical support to ensure efficient daily office operations at the plant site. This role serves as a primary point of contact for employees, visitors, and vendors while assisting with routine office tasks and recordkeeping.
Specific Job Duties-
Full range of administrative support for Engineering Department.

Administrator for Columbus site CTS-Contractor Time System for four full time contracting companies, that includes set up, maintain and monitor contractor vendor profile and individual contractor profiles and submit adjustments as needed. Responsible for timecards approved in a timely manner along with approving timecard exceptions daily.

Contractor Counts and Manpower Report by pulling CTS Contractor reports and Security contractor log swipes to compile average contractor manpower and total hours at CLM. Enter totals in Sphera Monthly Monitoring.

Maintain year to date CLM Monthly Progress Report available in CLM AFE Project Planning Microsoft Teams Site App that is accessible to Columbus plant project managers for AFE spend tracking in order help deliver within AFE budget and to close project within target finish date to avoid AFE Dormancy.

Responsible for tracking and submitting the request to capitalize and close. Requesting CIP for asset naming for CLM and 16F AFE’s. Part of AFE capitalization process includes submitting request to close POs’ that are received and invoiced.

Track and submit AFD as needed quarterly or as needed by disposal.

Assist with any individual Coupa receiving service receipts, PRPO writing and or Maximo PR/PO writing and or receiving as directed or needed.

Order office supplies and maintain the office area

Prepare forms, letters, reports, and other HR-related documents

Serve as the front office contact for employees, visitors, and vendors

Handle all uniforms for the plant

Answer phones, respond to emails, and route questions to appropriate HR staff

Assist with timekeeping corrections and basic attendance tracking

prepare for inspections and audits
-
ensure compliance with our daily air permit inspection requirements, running certain monthly reports, and numerous other items as requested Environmental Manager.

Perform general clerical duties including filing, scanning, copying, and data entry for HR and Environmental departments.

Other duties as assigned by management.
Education Requirements-
High school diploma or equivalent required; Associate’s or Bachelor’s degree in a business or operations related field preferred, or equivalent on-the-job experience.

High level of motivation and results-oriented way of working.

Proficient in MS Office Suite

Accuracy and thoroughness in recordkeeping.

Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. Hourly and salaried non-exempt employees will also be paid overtime pay when working qualifying overtime hours.
