Position Summary
The Accountant is responsible for managing the financial operations of the trucking company, ensuring accurate recordkeeping, compliance with federal and state regulations, payroll processing, expense tracking, and financial reporting. This role supports daily business operations by maintaining organized financial systems and categorized.
Key Responsibilities Financial Management
- Maintain accurate financial records for all company transactions.
- Prepare and manage monthly, quarterly, and annual financial reports.
- Monitor company cash flow, revenue, expenses, and profitability.
- Reconcile bank accounts, fuel accounts, credit cards, factoring statements & driver settlements.
- Track accounts payable and accounts receivable.
Payroll & Driver Settlements
- Process payroll for employees and independent contractors.
- Prepare driver settlements, deductions, reimbursements, and advances, look at credit card expenses per driver.
- Ensure payroll taxes and deductions are properly calculated and submitted.
- Maintain accurate records of bonuses, detention pay, layover pay, and deductions.
Trucking Industry Accounting
- Monitor fuel expenses, IFTA-related records, tolls, maintenance costs, and equipment payments.
- Track truck payments, insurance expenses, permits, registrations, and operational costs.
- Assist with budgeting and cost analysis for trucks, routes, and operations.
- Review load revenue and dispatch reports for accuracy.
Tax & Compliance
- Prepare documentation for tax filings and audits.
- Maintain compliance with federal, state, and local financial regulations.
- Assist with 1099 preparation and W-2 processing.
- Work with outside CPAs, tax professionals, and financial institutions when needed.
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
- Experience in trucking, transportation, or logistics accounting preferred.
- Knowledge of bookkeeping, payroll systems, and accounting software.
- Understanding of trucking industry expenses, fuel reporting, and driver settlements.
- Strong attention to detail and organizational skills.
- Ability to maintain confidentiality and professionalism.
- Proficient in Microsoft Excel, QuickBooks, or other accounting software.

The Accountant reports directly to company ownership or upper management and works closely with dispatch, safety, operations, and payroll departments.
