Entry-Level Administrative Assistant

Duties

  • Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth
  • Operate multi-line phone systems, handle incoming calls with excellent phone etiquette, and direct inquiries appropriately
  • Perform data entry, maintain accurate filing systems, and manage document proofreading to ensure clarity and precision
  • Coordinate calendar management, schedule appointments, and organize meetings efficiently using Google Workspace and Microsoft Office tools
  • Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining office equipment
  • Provide exceptional customer support by addressing inquiries promptly and courteously in person or via phone or email
  • Assist with clerical tasks including filing, copying, scanning documents, and managing correspondence

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with data entry, filing systems, and proofreading documents accurately
  • Excellent communication skills in English; bilingual abilities are a plus for serving diverse clients
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Ability to manage time effectively while handling multiple priorities in a fast-paced environment
  • Previous experience as a receptionist or personal assistant is highly desirable; experience in medical or dental reception is a bonus
  • Knowledge of office management procedures including bookkeeping (QuickBooks preferred), calendar management, and basic bookkeeping tasks
