Duties

  • Greet visitors warmly and professionally, ensuring a positive first impression for all who enter the office
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously
  • Assist with emails and managing calendars using tools like Microsoft Outlook
  • Perform data entry tasks with high accuracy, including filing, proofreading documents, and maintaining organized records
  • Support office management activities such as filing, photocopying, and organizing supplies
  • Provide excellent customer support by answering inquiries promptly and professionally in both English and Spanish
  • Handle basic bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping and invoicing

Skills

  • Bilingual fluency in English and Spanish is essential for effective communication with diverse clients, visitors, and team members
  • Strong front desk presence with excellent phone etiquette and organizational skills
  • Proficiency in computer literacy, including Microsoft Office (Word, Excel) and Outlook applications
  • Experience with multi-line phone systems, data entry, filing, and general clerical tasks
  • Exceptional organizational skills with the ability to prioritize tasks efficiently in a busy environment
  • Knowledge of office management practices and administrative procedures
  • Ability to type quickly with high accuracy; familiarity with proofreading is a plus
  • Customer service experience demonstrating professionalism, patience, and active listening skills
  • Familiarity with basic bookkeeping or personal assistant responsibilities, such as calendar management and bookkeeping
  • Strong time management skills to handle multiple responsibilities smoothly
